Are you a relationship builder with a talent for both selling and planning memorable events? As our Executive Meeting Manager, you’ll combine your sales expertise with your passion for creating seamless meeting experiences. From prospecting new business and responding to inquiries, to crafting detailed proposals and overseeing flawless event execution, you’ll guide clients through the entire process. Whether conducting a site inspection, finalizing a contract, or ensuring every detail of the meeting runs smoothly, you’ll be the go-to partner for clients and a key driver of success.
Your Role:
As the Executive Meeting Manager, you’ll actively sell, plan, and execute small meetings that leave a lasting impression. Some of your key responsibilities include:
- Generate new business through prospecting, networking, and client outreach.
- Respond promptly to inquiries, prepare proposals, and secure signed contracts.
- Conduct site inspections and client tours to showcase hotel meeting space and services.
- Serve as the liaison between the client and hotel teams, ensuring flawless event execution.
- Prepare and distribute detailed Group Resumes, Banquet Event Orders, and other internal documents.
- Consult with clients on meeting details, including guest counts, space setups, menus, and audiovisual needs.
- Manage group room blocks, cut-off dates, and special arrangements.
- Guide clients on menu planning and recommend options tailored to their needs.
- Represent the hotel at business functions, trade shows, and networking events.
- Achieve or exceed sales goals for revenue generated in the small meetings market.
- Review group billing for accuracy and assist with attrition calculations when applicable.
- Collaborate with hotel departments to ensure all requirements are met seamlessly.
- Other duties as assigned.
What We’re Looking For:
- 2+ years of hotel banquets and events experience.
- A high school diploma or equivalent is required; a 2 to 4-year college degree is a plus.
- Must be proficient with Windows operating systems and sales/meeting planning software.
- Strong organizational and communication skills.
- Ability to calculate basic mathematical equations.
- Familiarity with local vendors and suppliers is a plus.
