Responsibilities
- Respond promptly and professionally to customer inquiries via phone, email, and live chat using multi-line phone systems and other communication tools
- Manage front desk operations, including greeting visitors, scheduling appointments, and maintaining a welcoming environment
- Utilize productivity software such as Microsoft Office, Google Workspace, and QuickBooks to document interactions, update records, and perform data entry tasks accurately
- Handle clerical duties including filing, proofreading documents, managing calendars, and organizing office supplies to ensure smooth daily operations
- Provide support with bookkeeping tasks such as invoicing and tracking payments using QuickBooks or similar accounting software
- Maintain excellent phone etiquette while assisting customers with product information, appointment scheduling, or troubleshooting issues
- Support office management activities by coordinating meetings, managing correspondence, and ensuring efficient workflow
Requirements
- Proven experience in customer service or administrative roles with strong office management skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and productivity software
- Experience with QuickBooks or other bookkeeping/accounting tools is highly desirable
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Bilingual abilities are a plus to serve diverse customer needs effectively
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Knowledge of multi-line phone systems, calendar management, filing systems, and office procedures
- Demonstrated professionalism with excellent phone etiquette and interpersonal skills
