We are seeking a Clinical Operations Manager who will be the front desk lead and the face of our well-established chiropractic, acupuncture and massage clinic while overseeing daily operations, team leadership, and patient experience. This is not simply a receptionist role—it is a leadership position responsible for guiding staff, strengthening systems, and keeping the clinic running smoothly and professionally. You will partner directly with the clinic owner and remote billing specialist to manage people, workflows, HR processes, and growth initiatives in a busy multidisciplinary practice.
Core Responsibilities:
Front Desk Leadership & Patient Experience
- Serve as the face of the clinic and lead the front desk team
- Oversee scheduling, patient flow, and provide exceptional customer service
- Manage insurance verification, authorizations, and overall EHR system accuracy
- Partner with billing on balances, statements, and credits
- Lead patient communication and reactivation campaigns
- *This is ~50% of this role; you will need to learn how to be a master at the front desk and learn how to manage your time to step away to get other manager tasks done. It is a very independent role that requires great time management skills and the ability to multitask.
Team Leadership & HR
- Hire, onboard, inspire, and manage employees
- Conduct performance reviews and address staff concerns
- Review payroll before submitting to HR
- Facilitate staff meetings and internal communication
Operations & Growth
- Improve systems for efficiency, retention, and referrals
- Marketing and outreach to fill provider schedules and grow our patient base
- Manage vendors, inventory, and office operations
- Assist in evaluating and implementing operational system improvements, including potential future EHR transition
Compliance & Administration
- HIPAA and safety oversight
- Bank deposits, EOB scanning, and entering data onto shared spreadsheet
- Special projects to strengthen clinic operations
Required Qualifications
- 1+ year in a healthcare management or supervisory role with direct staff leadership
- Experience with hiring, performance management, and HR processes
- Comfort with problem resolution
- Experience with chiropractic, acupuncture, and massage preferred
- Experience with ChiroTouch server-based EHR or other EHR/practice management systems is strongly preferred
