The Role
The Patient Care Coordinator is the central hub of our front office. You are the first voice patients hear and the first smile they see. Your responsibility is to ensure every patient receives exceptional service while the clinic operates with precision. You will manage scheduling, insurance workflows, clinical support tasks, clean hearing aids, handle hearing aid orders, work with manufacture reps, and handle day‑to‑day operations that keep the practice running smoothly, This is a hands‑on role. You will work directly with seniors every day, troubleshoot hearing devices, assist patients face‑to‑face, and stay active throughout the day.
Key Responsibilities
- Front Office Management: Greet patients, manage phone lines, and maintain a fast‑moving appointment calendar with accuracy.
- Insurance & Financial Accuracy: Verify insurance and TPA benefits, obtain authorizations, collect payments, and maintain daily financial records with 100% precision.
- Patient Retention & Communication: Manage charts, conduct follow‑up calls, and support patient retention initiatives.
- Clinical Support: Perform basic hearing aid cleanings, minor repairs, and manage inventory for devices and supplies.
- Operational Excellence: Ensure the clinic is patient‑ready at all times and protect the provider’s schedule from interruptions.
- Technology & Systems: Use Microsoftproducts (Excel, Word, etc), Google Sheets, and scheduling/clinic tools such as Sycle, CounselEAR, Suno, or similar platforms with confidence.
What You Need
- Professional Temperament: Warm, patient‑focused, and able to maintain composure in a busy medical environment.
- Strong Desire to Help People: You genuinely enjoy building relationships and supporting patients throughout their hearing‑care journey.
- High Attention to Detail: Accuracy in documentation and insurance verification is essential.
- Reliability: Consistent punctuality and dependability are required.
- Technical Competence: Comfortable with office software and able to learn clinic systems quickly.
- Independent Problem‑Solving: Ability to follow protocols, retain information, and resolve issues without constant supervision.
Experience
- 2+ years in a medical, dental, or high‑end service environment.
- Experience working with seniors is a major plus.
Education
- Associate’s or Bachelor’s degree strongly preferred.
- High school diploma required.
