Position Summary
Texas Diaper Bank is seeking a highly organized, detail-oriented Accountant – Fiscal Operations to manage day-to-day accounting functions and support strong financial stewardship across the organization. This role is responsible for full-cycle accounting, payroll administration, grant and fund accounting, financial reporting, budgeting support, audit coordination, and maintaining effective internal controls.

Organizational Scope
Texas Diaper Bank is a statewide nonprofit organization dedicated to improving health, dignity, and economic stability by providing diapers, period supplies, incontinence products, clothing, and other basic essentials to families and individuals across Texas. Through partnerships with nonprofits, healthcare providers, schools, government agencies, faith-based organizations, and community partners, Texas Diaper Bank ensures essential products reach communities where the need is greatest.
The organization manages approximately $2 million in annual cash revenue and more than $5 million in annual non-cash product distribution, representing approximately $7 million in annual financial and non-cash resources. Texas Diaper Bank employs approximately 17 team members, engages over 5,000 volunteers annually, and supports communities across multiple regions of Texas.
The Accountant – Fiscal Operations supports financial accountability across a broad mix of public, private, earned, and in-kind funding streams, including:
- State government grants
- City and county government funding
- United Way funding
- Private foundation grants
- Corporate sponsorships and contributions
- Individual donations
- Fee-for-service revenue
- In-kind product donations
- Restricted and unrestricted funding sources
This role helps ensure grant compliance, accurate financial reporting, sound cost allocation, audit readiness, and responsible stewardship of public and private resources, including State of Texas, city and county, United Way, foundation, and corporate funding.
Position Impact
The Accountant – Fiscal Operations serves as the organization's primary accounting professional and is essential to fiscal accountability, strategic decision-making, and compliance with grant, audit, and regulatory requirements.
The position works closely with executive leadership, program managers, auditors, financial institutions, government agencies, grantors, and funding partners to maintain accurate reporting and sound fiscal management.
Key Responsibilities
Financial Management
· Manage full-cycle accounting, including general ledger maintenance, reconciliations, journal entries, and month-end closing.
· Process accounts payable, accounts receivable, payroll, and cash management activities.
· Maintain accurate financial records within QuickBooks.
· Monitor organizational cash flow and assist with financial forecasting.
· Maintain banking relationships and support cash management activities.
- Assist with annual financial planning and forecasting efforts.
Purchasing & Procurement Support
· Support purchasing and procurement processes in alignment with organizational policies, grant requirements, and approved budgets.
· Review purchase requests, invoices, receipts, and supporting documentation for accuracy, approval, and compliance.
· Track purchases by program, department, grant, or funding source to support accurate cost allocation and reporting.
· Maintain purchasing records needed for audits, grant monitoring, internal controls, and financial documentation.
Grant & Fund Accounting
· Track restricted and unrestricted funds.
· Monitor grant budgets, expenditures, reimbursements, and compliance requirements.
· Prepare financial reports required by state, city, county, United Way, foundation, and corporate funders.
- Ensure compliance with grant agreements and reporting requirements.
- Support cost allocation methodologies and related documentation.
- Collaborate with program managers to monitor grant spending and budget performance.
Financial Reporting & Budgeting
· Prepare weekly and monthly financial statements and budget-to-actual reports.
· Assist with annual budget development and financial planning.
· Prepare financial reports, dashboards, and analyses for executive leadership and the Board of Directors.
· Support organizational planning through financial analysis and forecasting.
- Assist with monitoring organizational financial performance and key financial indicators.
Audit, Compliance & Internal Controls
· Coordinate annual audits and support Form 990 preparation.
· Ensure compliance with accounting standards, grant requirements, and organizational policies.
· Maintain and enhance internal controls, accounting procedures, and financial documentation.
· Support organizational risk management and fiscal accountability initiatives.
- Maintain documentation necessary for audits, grant monitoring, and compliance reviews.
Systems & Process Improvement
· Serve as administrator for QuickBooks and related accounting systems.
· Identify opportunities to streamline accounting processes and improve efficiencies.
· Develop and maintain accounting procedures and financial workflows.
· Support implementation of automation and technology improvements.
Systems & Technology
Strong experience with the following systems is preferred:
- QuickBooks
- Microsoft 365
- Microsoft Excel (advanced proficiency)
- Payroll administration systems
- Cloud-based accounting and reporting platforms
- Financial dashboard and reporting tools
Qualifications
Required
· Bachelor’s degree in accounting, Finance, Business Administration, or related field.
· Minimum of three (3) years of progressive accounting experience.
· Experience with full-cycle accounting and month-end closing.
· Experience processing payroll and preparing financial statements.
· Strong proficiency in QuickBooks and Microsoft Excel.
· Strong analytical, organizational, and problem-solving skills.
· Excellent written and verbal communication skills.
· Ability to manage multiple priorities and deadlines with a high degree of accuracy.
Preferred
· Nonprofit accounting experience.
· Grant accounting and fund accounting experience.
· Experience supporting annual audits and Form 990 preparation.
· Experience with government grants and contract compliance.

Work Environment & Schedule
Texas Diaper Bank maintains a modified full-time schedule that balances organizational needs with employee well-being, accountability, and sustainable workloads.
Regular Office Schedule
- Monday–Thursday: 7:30 a.m.–5:00 p.m.
- Friday: 7:30 a.m.–1:30 p.m.
Breaks and Meal Periods
- Two paid 15-minute breaks daily
- One unpaid one-hour meal period Monday through Thursday
Exempt Position Expectations
This exempt professional role requires strong ownership of responsibilities, deadlines, and priorities to support organizational goals, fiscal accountability, and compliance.
Occasional additional hours may be required during key periods, including month-end closing, audits, budgeting, grant reporting, board meetings, special events, disaster response, or other critical priorities.
