Job Summary
We are seeking an energetic and organized Front Desk Receptionist/Office Assistant to be the welcoming face and efficient coordinator of our busy office environment. Responsibilities
- Greet visitors warmly, establish a professional atmosphere, and direct them appropriately
- Operate multi-line phone systems to answer, screen, and route incoming calls with excellent phone etiquette
- Manage appointment scheduling and calendar coordination for staff and executives
- Handle data entry, filing, and document proofreading to maintain accurate records
- Support office management by organizing supplies, maintaining filing systems, and overseeing general administrative duties
- Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
- Assist with bookkeeping tasks using QuickBooks or similar software, including invoicing and expense tracking
- Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of customer satisfaction
- Perform clerical tasks such as typing documents, proofreading materials, and maintaining organized files
- Support personal assistant responsibilities as needed, including travel arrangements or special project coordination
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping software such as QuickBooks
- Excellent communication skills with a focus on professional phone etiquette and customer service excellence
- Bilingual abilities are highly desirable to effectively serve diverse client needs
- Previous clerical experience involving filing, proofreading, calendar management, and administrative support is preferred
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Personal assistant experience or office management background is a plus
- Ability to handle multiple responsibilities with professionalism and a positive attitude
