ABOUT THE ROLE
We are a growing private practice in Berks County looking for a warm, organized, and dependable Front Office Coordinator to be the welcoming face of our office. This is a part-time, hybrid position ideal for someone who genuinely enjoys helping people, thrives in a fast-paced environment, and takes pride in keeping things running smoothly behind the scenes.
You will be the first point of contact for our clients — many of whom are reaching out during a difficult time in their lives. Your professionalism, warmth, and attention to detail matter enormously to the experience we provide.
WHAT YOU WILL DO
- Answer incoming calls, return voicemails, and respond to patient inquiries promptly and professionally
- Conduct new patient intakes, gathering demographic, insurance, and referral information
- Schedule, confirm, and manage appointments using our practice management software
- Greet and check in patients at the front desk with care and professionalism
- Verify insurance eligibility and assist patients with basic billing questions
- Prepare intake paperwork and ensure client files are complete before appointments
- Process payments and generate receipts
- Support other front office staff and assist with general administrative duties
- Maintain organized, HIPAA-compliant records
- Manage office supply inventory
WHAT WE ARE LOOKING FOR
- 1–2 years of experience in a medical, mental health, or customer-facing office setting
- Strong communication skills — warm, clear, and professional on the phone and in person
- Comfort learning new technology and practice management software
- Reliability, attention to detail, and the ability to juggle multiple tasks
- A genuine respect for client privacy and confidentiality
- Bachelor's degree required
- Experience with EHR systems (e.g., Therapy Appointment, TherapyNotes, Simple Practice) is a bonus but not required
