About Marpa Minds
Marpa Minds is a growing mental health practice specializing in Spravato and ketamine treatment for treatment-resistant depression. We're looking for a compassionate, organized, and proactive Patient Care Coordinator to help deliver an exceptional patient experience while keeping our clinic running smoothly.
Position Summary
This is a hands-on role that combines patient care, clinic operations, inventory management, and patient engagement. You'll play an essential role in supporting providers, coordinating daily clinic flow, and helping patients stay connected to their treatment.
Responsibilities: Patient Care
- Welcome and check in patients
- Obtain and document vital signs
- Monitor and assist patients during treatment and escalate concerns when appropriate
- Prepare treatment rooms between patients
- Discharge patients
Clinic Operations
- Maintain a clean, organized, and efficient clinic
- Ensure rooms and supplies are ready for each treatment day
- Coordinate facility and maintenance needs
- Support smooth daily patient flow
Inventory & Medication
- Monitor and order medical and office supplies
- Coordinate Spravato medication orders with scheduled patients
- Accurately log and track all medications
- Help prevent treatment delays due to inventory shortages
Administrative Support
- Complete daily charge slips and documentation
- Maintain accurate records in the EHR
- Submit patient enrollment and monitoring forms
- Communicate billing or documentation issues promptly
Patient & Provider Engagement
- Contact patients who have paused or missed treatment
- Conduct provider follow-up calls to strengthen referral relationships
- Engage with provider outreach and track in CRM
- Help generate positive patient reviews through excellent service and patient advocacy
Qualifications: Required
- Healthcare, medical office, or patient-facing experience
- Strong communication and organizational skills
- Comfortable using EHRs and technology
- Professional, dependable, and patient-focused
Preferred
- Medical Assistant, Patient Care Coordinator, or Care Navigator experience
- Mental health or behavioral health experience
- CPR/BLS certification (or willingness to obtain)
