Overview
We're looking for a highly organized, detail-oriented Marketing & Operations Coordinator focused on job costing, client follow-up, and marketing support. What you'll do:
Operations Job Tracking and Costing:
- Track all jobs from start to finish using JobTread, Google Workspace, and Excel.
- Ensure accuracy in job costing including hours, materials, and labor.
- Identify and flag discrepancies in projected vs. actual costs.
- Clean up and maintain accurate reporting in JobTread and Excel.
- Report to leadership weekly and monthly on your findings and ideas.
Operations Support:
- Assist leadership with weekly reporting and performance analysis, including tracking KPI's, updating marketing data, and preparing job costing summaries for weekly meetings.
- Help identify and improve gaps in project documentation, follow-through, and reporting accuracy.
- Assist in writing client estimates, change orders, and documentation when needed.
- Assist in collecting payments when needed.
Client Follow-Up & Past Proposal Support:
- Follow up with potential, new, and existing clients regarding their projects.
- Help nurture client relationships by providing timely updates and follow-through.
- Act as a client-forward voice, ensuring every job reflects our brand, standards, and values.
Marketing Support:
- Monitor industry trends and competitor activities to identify opportunities for growth.
- Coordinate tradeshows, events, marketing vendor communications, and ordering.
- Keep a daily and monthly lead tracker, helping us to understand where our leads are coming from, and following up (Phone, Email, Text, In-App Messages) with potential new leads on a regular schedule.
- Keep marketing collateral and marketing projects on track.
- Assist with marketing project execution and campaign tracking for Google Ads, Google Analytics, Angi, Home Advisor, Thumbtack, Google LSA, and more.
- Assist Sales, Marketing, and Project Management teams with various marketing tasks.
- Lead and manage our online reviews and platforms ensuring we respond quickly to new reviews and keep our online platforms updated.
- Help create posts on social media, and keep platforms up to date and post regularly.
Experience and Qualifications:
- Experience in construction, restoration, admin, marketing, or customer service is preferred.
- Strong interest in marketing, communications, or branding.
- Experience in reaching out to clients by phone and email.
- Familiar with the marketing process, including managing timelines, vendors, and follow up.
- Able to quickly learn new digital tools such as JobTread, Google Workspace, and Google Analytics.
- Familiarity or experience in Google Ads/Google LSA/Google Analytics a plus.
- Highly organized, detail-oriented, and dependable.

Pay: $21.00 - $29.00 per hour
