Overview
We're seeking a detail-oriented, experienced Bookkeeper to manage day-to-day accounting across two related businesses. Cuthbert Capital (a Vistage Chair business) and Sandler San Antonio / Sales City Group using QuickBooks Online. This is a hands-on, part-time remote role covering the full bookkeeping cycle, direct client and member phone contact, and ongoing financial recordkeeping. It's a great fit for a seasoned bookkeeper looking for a flexible, part-time schedule rather than full-time hours.
Responsibilities
● Maintain accurate transaction records and general ledger entries in QuickBooks Online across both entities
● Perform bank and credit card reconciliations within QuickBooks using the connected bank feed and statements provided — no direct online banking login access is required or granted for this role
● Process accounts payable: enter and code vendor bills and prepare them for payment; process accounts receivable: invoice clients, track payments, and follow up on past-due balances
● Track and reconcile commissions, revenue share, and deferred revenue (Sandler San Antonio)
● Process monthly payroll for both entities
● Monitor cash flow across both entities and flag issues proactively
● Reconcile the Vistage Clearing balance for Chair reimbursements due
● Process employee and business expense reimbursements, and manage the expense-tracking workflow (receipt → QuickBooks → Google Drive → expense log) for Cuthbert Capital/Vistage
● Review the Balance Sheet and P&L monthly for reasonableness and consistent categorization
● Review large purchases to determine whether they should be capitalized or expensed
● Identify vendors requiring W-9s and handle 1099 filing
● Resolve uncategorized transactions, missing payees, undeposited funds, and unapplied payments
● Prepare basic monthly financial reports as requested
● Monitor Vistage member accounts for overdue dues, and call, text, and email members to collect payment and resolve past-due balances
● Prepare and send coaching client invoices and process conference room rental payments
● Maintain organized, confidential financial records and supporting documentation
Requirements
● Minimum 3 years of experience working as a paid bookkeeper for a small business
● Minimum 3 years of hands-on QuickBooks Online experience
● At least QuickBooks Online ProAdvisor Level 1 certification (or equivalent)
● Solid understanding of double-entry bookkeeping, bank/account reconciliation, and general ledger accounting
● Comfortable and professional on the phone with clients and members — this role includes real collections and customer-service calls, not just data entry
● Experience with commissions, revenue share, or cash flow forecasting is a strong plus
● Strong technology and software proficiency; ability to work independently on a set weekly schedule
● High attention to detail and discretion handling confidential financial data
Ideal Candidate
Someone with genuine, hands-on QuickBooks Online depth who is looking for flexible, part-time hours rather than a full-time role. This is not an entry-level or trainee position. The ideal candidate already runs the full bookkeeping cycle independently and is comfortable being the point of contact for clients and members on billing matters.
Pay: $15.00 - $22.00 per hour
