HVAC Scheduler / Customer Service Representative

Apex Clean Air is a growing HVAC and Air Duct Cleaning company dedicated to providing expert service and making a positive impact on our customers’ lives. We are looking for an energetic, organized, and self-motivated person to join our fun, positive, and fast-paced office team.
This position may be a great fit for someone with experience as an inbound customer service representative, HVAC scheduler, home service scheduler, or outbound appointment scheduler. We are willing to train the right person who has strong customer service skills, a great attitude, and the ability to learn quickly.
The main focus of this role is helping customers, scheduling appointments, following up on leads, and keeping our schedules full.
Our hours of operation are Monday–Saturday, 7:00 AM–7:00 PM. Your shift will be scheduled somewhere within those days and times and may include Saturdays.

Key Responsibilities
As an HVAC Scheduler / Customer Service Representative, you may be responsible for:
- Answering inbound calls from customers
- Making outbound calls to existing customers and warm leads
- Scheduling HVAC service, maintenance, and follow-up appointments
- Responding to customer texts and emails
- Following up on missed calls, web leads, open estimates, and lead pipelines
- Helping keep the schedule full by reaching out to customers with open opportunities
- Confirming customer information and appointment details
- Using call flow scripts and professional communication standards
- Clearly explaining services, appointment details, and customer expectations
- Documenting all calls, notes, and appointment activity accurately
- Working toward daily and weekly scheduling goals
- Providing excellent customer service with patience, confidence, and professionalism
Outbound Scheduling & Customer Follow-Up
This role may include outbound scheduling responsibilities. This is not cold calling. You will be contacting warm leads, existing customers, missed calls, unconfirmed appointments, and customers who have already shown interest in our services.
Outbound responsibilities may include:
- Calling existing and prospective customers to schedule appointments
- Following up quickly on new leads and missed opportunities
- Reaching out to customers who need to reschedule or confirm
- Working open availability to help maximize the schedule
- Communicating with confidence and purpose while working toward a booked appointment
- Accurately documenting all outbound activity
