The role
We're looking for a polished, energetic, and experienced Front Desk Coordinator to be the face of Health Quest Wellness. This is not a typical receptionist role — you'll be a vital part of our client experience team, responsible for educating guests on our services, supporting our practitioners, and confidently closing sales. If you thrive in a fast-paced aesthetic environment and love delivering white-glove service, we want to meet you.
What you'll do
- Be the first and last impression for every client — warm, professional, and memorable
- Educate clients on all services and treatments we offer, confidently answering questions about aesthetic procedures
- Close service recommendations and upsell treatment packages and retail products on behalf of our practitioners
- Manage appointments, check-ins, and check-outs using EMR/practice management software (Boulevard preferred)
- Handle phones, emails, and online inquiries with professionalism and speed
- Maintain accurate client records, consent forms, and treatment history in our system
- Oversee front desk inventory — ordering, tracking, and organizing supplies
- Process payments, apply promotions, and manage client accounts
- Keep the reception/ common area clean, organized, and welcoming at all times
- Collaborate with our clinical team to ensure smooth daily operations
What we're looking for
Required:
- 2+ years of front desk or coordinator experience in a medspa, dermatology, plastic surgery, or wellness setting
- Working knowledge of aesthetic services (injectables, laser treatments, facials, body contouring, etc.)
- Experience with EMR or practice management software — Boulevard experience strongly preferred
- Proven ability to educate clients and close service and retail sales
- Outstanding interpersonal and communication skills — warm, confident, and professional
- Highly organized with strong attention to detail and ability to multitask
- Quick learner who can master new treatment knowledge and protocols with ease
A plus:
- Background in luxury hospitality, hotel concierge, or high-end retail
- Familiarity with a clinical or medical aesthetic environment
- Experience with membership programs, packages, or loyalty systems
