Job Summary

Our clients and potential new clients need a friendly, outgoing individual that can understand and decipher their needs. This candidate must be customer service orientated with extremely strong attention to detail as well as possess the aptitude to accurately screen potential client calls. They will have exceptional communication and organizational skills, be self-motivated and able to multi-task. Intake specialist plays a crucial role in the initial stages of client engagement by gathering and evaluating information to determine the viability of potential cases. This person must be able to report to work in a timely, dependent, and reliable manner.
Responsibilities
- Speak with potential clients with empathy and compassion.
- Identify potential clients and evaluate the legal merits of personal injury cases, Data breach, employment etc.
- Identify cases that fall outside the law firm's practice areas or require specialized expertise.
- Provide clear and concise explanations of the law firm's intake process, legal services offered, and potential next steps to potential clients.
- Send and maintain intake forms, as well as persistently monitor all potential new client inquiries (via telephone, internet, e-mail)
- Record all client information, inquiries, and case details in a centralized database or case management system.
- Coordinate and schedule consultations or meetings between potential clients and attorneys or legal staff.
- Follow-up and maintain contact with pending inquiries.
- Update "pipeline" of potential new clients, schedule consultations as required.
- Assist existing clients by directing traffic to the appropriate department or answering questions.
- Manage, organize, and maintain documents in electronic case management, database and filing systems.
- Assist legal staff with administrative tasks related to opening new cases and maintain documents related to litigation.
- Perform other administrative work like typing, proofreading, and transcription.
- Back up receptionist
Requirements
- Excellent verbal and written communication skills and professional demeanor
- Detail-oriented and highly organized
- Preferred strong knowledge of OneDrive System (including the Microsoft Office Programs of Word, Excel, and Outlook)
- Knowledge of Litify case management software or other CRM is a plus.
- Ability to prioritize workload and assignments.
- Ability to work independently, manage workload, and keep deadlines without extensive guidance.
- Applicable knowledge of the legal field including motions, discovery, evidence, litigation documentation, etc. beneficial
- Strong writing and communication skills along with attention to detail
- Fluent in Spanish, knowlege of legal terms a plus
- Ability to follow office direction and procedures.
