This position is perfect for someone who enjoys solving problems, staying organized, and making sure nothing falls through the cracks. You'll work closely with our processing team, sales staff, management, and executive leadership to move projects efficiently from contract to construction.
Position Summary
The Pre-Construction Coordinator & Executive Assistant serves a critical role in ensuring every customer's file progresses efficiently through the pre-construction process while also providing executive support to company leadership.
This position requires exceptional organization, communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
ResponsibilitiesConstruction Processing
- Process and maintain customer files from contract through construction start.
- Gather, review, and organize required documentation.
- Request and track outstanding conditions from customers, lenders, and third parties.
- Coordinate with sales, drafting, permitting, lenders, title companies, utility providers, and internal departments.
- Pull and track permits with local municipalities.
- Monitor file status to ensure milestones are met on schedule.
- Keep customers informed throughout the pre-construction process.
- Maintain accurate records within the company CRM and internal systems.
- Identify delays and proactively work toward solutions.
Executive Assistant Duties
- Assist company leadership with administrative tasks and special projects.
- Prepare professional customer documents, presentations, proposals, forms, and informational packets.
- Create polished templates, reports, checklists, and company documents.
- Coordinate meetings, schedules, and follow-up items.
- Assist with internal process improvements and documentation.
- Help organize company files and maintain operational systems.
Qualifications
- Highly organized with exceptional attention to detail.
- Strong written and verbal communication skills.
- Excellent time management and ability to prioritize multiple projects.
- Proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Comfortable learning new software and technology.
- Professional, positive attitude with excellent customer service skills.
- Ability to work independently while collaborating with a team.
- Construction, mortgage, real estate, title, permitting, or administrative experience is preferred but not required.
