Purpose of Position:
YFU USA is part of a vibrant international network of high school exchange organizations. In this position, you will work as part of a team to manage the workflow of the registration department and the processing of outbound (US) high school student applications. As part of the Study Abroad team, you are responsible for data entry, review of study abroad applications, and initial approval of documents for student acceptance. Applicant must be able to maintain and follow through with standard operating practices and procedures to meet compliance requirements and YFU quality standards of outbound student participants.

Essential Functions:
- Primarily responsible for quality control and management of the documentation process and review of all required documents submitted by a Study Abroad (SA) Applicant
- Responsible for reviewing and providing supplemental investigation on highly personal information contained in student application records. Ability to professionally discuss issues with applicant/participant and legal guardians to gain needed information to determine eligibility for acceptance/enrollment
- Manage and coordinate oversight of compliance standards as established by YFU USA and the YFU Global Office as they pertian to our outbound student documentation
- Maintain and key in data to complete databases with primary responsibility for data entry into multiple systems
- Monitor, track, and facilitate communications between participants, legal guardians, staff, partner countries, and volunteers. Manage record maintenance of participant files
- Manage and coordinate the scholarship administration process effectively, ensuring timely response and meeting scholarship and partner file deadlines
- Assist with Study Abroad interview process
- Serve as a point of contact for support of students interested in YFU Study Abroad Programs and YFU sponsored scholarships
- Follow up with students on their documents for the enrollment process
- Research, document, and facilitate the VISA process for Study Abroad enrollees to ensure on-time departure
- Assist with the collection of enrollment deposits and payments
- Other duties as assigned
Minimum Qualifications
- Bachelor’s Degree or equivalent, or minimum three years’ work experience in office management or administration
- Experience with word processing, basic spreadsheet knowledge, HubSpot or alternate CRM experience, and data management skills
- Strong attention to detail, accuracy, and ability to meet deadlines
- Able to be productive in a deadline-driven, fast-paced environment as well as during off-peak times
- Professional skills in written and verbal communications; excellent telephone manner
- Ability to determine priorities and to establish processes to meet job requirements
- Strong initiative; excellent judgment and tracking skills; dependable, reliable, and flexible
- Available to flex time and work beyond normal business hours if required
- A team player; a positive, can-do approach with the ability to also effectively work independently
Physical Requirements:
Based on ADA guidelines, the following are minimal physical activities applicable to this position—
- Talking, hearing, standing, walking, repetitive motion of wrists, hands, and/or fingers
- Sedentary work - exerting up to 20 pounds of force occasionally and/or a negligible amount of force frequently
- Visual Acuity - Level 1 - Minimum standard for use with those whose work deals largely with preparing and analyzing data and figures, accounting, and extensive reading
- Working conditions - this position is not substantially exposed to adverse environmental conditions
