Job Summary
Maintains office operations by serving customers, greeting, welcoming, and directing them appropriately; receives and distributes communications; receives and delivers correspondence to proper departments, special projects, maintaining security and health safety by keeping customers informed of procedures. Work is accomplished with moderate supervision. Follows established and detailed directions. Work is reviewed for accuracy and overall adequacy.
Responsibilities
· Visitor Management: Greet and welcome guests as they arrive, direct them to the appropriate person or office, and manage the visitor log and security badges.
· Communication: Answer, screen, and forward incoming phone calls professionally while providing basic information to callers.
· Administrative Support: Perform clerical duties such as filing, photocopying, transcribing, and faxing.
· Mail Handling: Receive, sort, and distribute daily mail and deliveries.
· Scheduling: Maintain office calendars and coordinate meeting room bookings.
· Maintenance: Ensure the reception area is tidy and presentable, and keep an inventory of office supplies to restock as needed.
Qualifications
· Education: High school diploma or equivalent (GED) required.
· Experience: Proven work experience as a Receptionist, Front Office Representative, or similar customer service role.
· Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and Google applications and familiarity with office equipment like printers and multi-line phone systems.
· Strong verbal and written communication skills.
· Exceptional organizational and time-management abilities.
· Ability to stay calm and professional under pressure.
