We are seeking an experienced, motivated Practice Manager who is organized, analytical, technologically proficient, and passionate about building efficient healthcare operations. Position Overview
The Practice Manager will oversee the day-to-day clinical and administrative operations of the practice and report directly to the Business Operations Manager and Leadership Team.
This role requires someone comfortable managing people, processes, and performance. Responsibilities include staff management, clinical workflows, payroll and timekeeping, patient satisfaction, performance reporting, and quality improvement.
The ideal candidate is self-motivated, adaptable, efficient, and solution-oriented, with the ability to identify problems, implement solutions, and continuously improve practice operations.
Key Responsibilities
Clinical Operations & Team Leadership
- Oversee daily clinical and administrative operations, staffing, scheduling, and patient flow
- Oversee the full onboarding process for new employees, ensuring a smooth and organized introduction to the practice.
- Coordinate orientation schedules and manage all required onboarding documentation.
- Facilitate training on practice policies, procedures, and workflows.
- Serve as the primary point of contact for new employees during their initial transition and work with Business Manager to ensure new staff are fully supported and equipped with resources to be successful.
- Understand and optimize workflows from referral and scheduling through consultation, authorization, procedure, and follow-up
- Manage, coach, and hold clinical and administrative staff accountable for performance
- Oversee timekeeping, attendance, PTO, and payroll preparation
- Support hiring, onboarding, training, and staff development
- Develop and maintain efficient workflows, policies, and standard operating procedures
Performance, Quality & Patient Experience
- Monitor key performance indicators (KPIs) including patient volume, scheduling utilization, cancellations, referral conversion, authorizations, and productivity
- Run and analyze operational reports and communicate findings to the Business Operations Manager and Leadership Team
- Monitor patient satisfaction and serve as the primary management escalation point for patient concerns
- Identify operational trends, inefficiencies, and opportunities for improvement
- Lead quality and process-improvement initiatives
Technology & Efficiency
- Utilize technology, AI, and automation to improve efficiency and reduce repetitive administrative work
- Help implement and optimize EMR, reporting, communication, and workflow systems
- Identify inefficient or unnecessarily manual processes and develop better solutions
- Maintain appropriate HIPAA, privacy, and security standards
Qualifications
Required:
- Experience in medical practice management, healthcare operations, or a comparable healthcare leadership role
- Strong understanding of clinical workflows and medical-office operations
- Experience managing staff, scheduling, payroll, and performance
- Strong analytical, organizational, communication, and problem-solving skills
- Comfortable with technology, reporting tools, and learning new systems
- Ability to work independently, prioritize effectively, and take ownership of operational challenges
Preferred:
- Healthcare management experience
- Experience in pain management, orthopedics, neurosurgery, ambulatory surgery, or another procedural specialty
- Bachelor's degree in healthcare administration, business, management, or related field
- Experience with eClinicalWorks, Microsoft Office, Teams, KPIs, AI platforms and automation
