We're looking for a highly organized, dependable Office Administrator/Service Coordinator to become an essential part of our team. This position is ideal for someone who enjoys helping customers, multitasking, and working in a fast-paced environment.
Duties
- Manage daily office operations, including filing, front desk duties, multi-line phone systems, and calendar management to ensure efficiency and professionalism.
- Coordinate service appointments, schedule management, and vendor relationships to maintain smooth workflow and timely project execution.
- Oversee bookkeeping and accounting tasks using accounting software such as QuickBooks, including invoicing, expense tracking, and financial record keeping.
- Handle human resources functions like onboarding new staff, training & development initiatives, and maintaining confidential personnel information.
- Support event planning efforts for meetings, company functions, or community outreach activities to promote team engagement.
- Assist with payroll processing and budgeting activities to ensure accurate financial management aligned with organizational goals.
- Communicate effectively with clients and vendors through professional client communication practices while managing office supplies and vendor relations.
Experience
- Proven experience in office management or administrative roles within a professional environment.
- Demonstrated supervisory experience with team management responsibilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with spreadsheets for data organization and reporting.
- Familiarity with accounting and financial software such as QuickBooks or other bookkeeping tools.
- Strong organizational skills with the ability to handle multiple priorities efficiently in a fast-paced setting.
- Excellent communication skills—both verbal and written—and phone etiquette for interacting with clients, vendors, and team members.
- Experience in medical office management or similar environments is a plus but not required.
- Knowledge of clerical tasks such as filing, data entry, and managing multi-line phone systems is essential.
- Ability to handle confidential information discreetly while maintaining high standards of professionalism.
