Job Summary
We are seeking an energetic and detail-oriented Receptionist/Administrative Assistant to join our dynamic team. Duties
- Welcome visitors and clients with a friendly, professional demeanor, providing excellent customer service at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries to appropriate personnel
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
- Utilize Microsoft Office Suite and Google Workspace for scheduling, correspondence, and document creation
- Assist with calendar management and appointment scheduling for staff or medical/dental practitioners as needed
- Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes
- Support office management tasks such as supply ordering, maintaining cleanliness, and organizing files for efficiency
Experience
- Prior office experience in administrative or clerical roles is essential, preferably within a healthcare or professional setting such as dental or medical offices
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Excellent phone etiquette and customer support skills to handle inquiries professionally and courteously
- Bilingual capabilities are highly desirable to facilitate communication with a diverse clientele
- Experience with office management functions such as calendar coordination, filing systems, and basic bookkeeping is preferred
- Personal assistant experience or familiarity with medical/dental receptionist duties will be considered an asset
