Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette.
- Handle front desk duties such as scheduling appointments, managing mail, and maintaining visitor logs.
- Support office management tasks including data entry, filing, proofreading, and maintaining organized records.
- Utilize computer skills with proficiency in Microsoft Office, Google Workspace, and other relevant software for administrative tasks.
- Assist with calendar management and scheduling for team members or executives as needed.
- Provide customer support by addressing inquiries efficiently and courteously across various communication channels.
Requirements
- Proven office experience with strong clerical skills such as data entry, filing, and proofreading.
- Excellent organizational skills with the ability to manage time effectively in a fast-paced environment.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic internet navigation.
- Experience with multi-line phone systems and phone etiquette is essential.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Prior experience in reception roles such as dental or medical receptionist is a plus; familiarity with office management or bookkeeping is advantageous.
- Strong interpersonal skills with a professional demeanor; previous personal assistant or customer service experience is beneficial.
