The Secretary at Chiefland Methodist Church (CMC) ministers by providing administrative and operational support to fulfill the church's mission and vision.
This position…
- Involves a faith based commitment to Jesus Christ as a part of the Church's ministry team. The secretary should be in alignment with the Chiefland Methodist Church Purpose, Vision, Mission, and Values (PVMV) and leadership paradigm.
- Is directly accountable to the Senior Pastor and has bi-annual evaluations.
- Works very closely with the church community to oversee, manage, and identify administrative, operational, and systemic needs of the CMC.
- Primary functions include: office operations, event management, social media, records management, administrative support, and networking.
- 28-30 hours per week at $17.50-$18.50 an hour based on experience.
- Hours are Monday – Thursday 9:00am – 4:00 pm, Sundays 9-11 am. (1/2 hour paid lunch).
Purpose
- Primary functions include: secretarial duties, records management, and administrative support. This position requires confidentiality and support of Chiefland Methodist Church’s Purpose, Mission, Vision, and Values. The secretary reports to and is directly accountable to the Senior Pastor as the immediate supervisor. Funds for appropriate reimbursable expenses and professional development are available. Must be in alignment with Evangelical Christian beliefs and values.
Expectations
1. Must take seriously the integration of faith and spiritual formation, supporting the church community and/or the like.
2. Is part of the Chiefland Methodist Staff/Team and will follow all policies and procedures.
3. Must be committed to personal growth/development spiritually; professional growth in leadership, job-related skills, and innovation; and having a good attitude.
4. Must have strong organizational skills, maintain a professional demeanor, be engaging, friendly, empathetic, and caring, have good social and telephone skills at all times, and maintain strict confidentiality regarding church records, ministry situations, etc.
5. Able to work in a positive, efficient, effective, and independent manner, as well as in team-based settings
6. Oversee day-to-day operations and business of the organization. (handle “official” church communications [formal letters, helping develop and communicate building & business policies and procedures, mass and group emails and texts, etc]; Function as a point of contact for the church facilities, staff, teams and committees; Communicating with fire code inspectors, Insurance company, contacting repairmen, receiving bids from contractors, submitting applications for membership to companies, researching options for supplies, making sure inventory is stocked for supplies, etc.)
7. Serve as hub of church communications corporately and publicly(Must be fluent and develop computer skills, especially Word, Excel, Google Suite & Apps, Canva, and be willing to learn church management software and website and Facebook management; be the point of contact for church business and church calendar, keeping record of activities for ministry and building usage and communicating messages to appropriate staff).
8. Must participate in regular staff team meetings, have active involvement with the church community, and regular attendance on Sunday mornings.
Responsibilities
1. Will serve as the church's first point of contact, coordinating and connecting with the appropriate community, team, and congregation members as needed.
2. Will oversee general day-to-day administration:
- Manage and oversee communications via weekly email, website, and social media, working closely with the pastoral team.
- Manage church calendar, records, and database.
- Manage the filing of reports, records, and documents.
- Manage and maintain an up-to-date church calendar and assist with scheduling.
- Check phone messages, emails, and mail, and direct them to the appropriate person.
- Schedule calls, meetings, and appointments for the Senior Pastor.
- Work with groups to coordinate meeting times, communicate about meeting times & content, and send out details and reminders.
- Provide excellent customer service and display servant leadership
- Ensure proper operation of office equipment, order necessary supplies, coordinate purchases, maintenance, and repair services as needed
- Prepares bulletins using MS Publisher, updates worship slides for Sunday mornings, creates flyers, and sign-up sheets
3. Will work with the financial secretary and use QuickBooks to
- Make sure any income gets appropriately deposited and recorded
- Ensure the implementation of healthy policies and procedures as relates to financial operations.
- Collate and coordinate financial reports/reviews with the treasurer.
- Be familiar with QuickBooks and provide bookkeeping entries and records
- Coordinate and facilitate the creation of the draft annual budget
4. Coordinate logistics for assigned events and ministries. (i.e, Makes arrangements for meetings & events: reserves meeting rooms, works with ministry groups to assist in logistics
5. Provide support for the shared drive, user accounts, electronic media, online content.
6. Supervise the church custodian.
7. Other duties as assigned by the Senior Pastor.
ADD’L QUALIFICATIONS
- Successfully undergo a criminal background and credit check.
- Must be proficient with Microsoft Office Suite, receive and implement QuickBooks training, and the Google Suite
- Ability to develop professionally and learn new computer-based programs
- Principles and practices of church administration, including long-range planning, budgeting, purchasing, and maintaining records.
This job description is going to change as the ministry grows, the demands of the position change, as other staff are hired, and/or as the Senior Pastor deems necessary.
