Job Title: Family Office Assistant (Finance and Administration)

About the role
We are looking for a Family Office Assistant to support the financial and administrative operations of our founder's private office. The role centers on keeping financial records accurate and current, and also includes handling account and paperwork matters with banks, insurance providers, and other institutions.
This is a steady, self-directed role. Transaction volume is moderate and the rhythm is predictable. The books are reviewed monthly by a separate internal reviewer. What matters most here is accuracy, follow-through, and absolute discretion.
What you'll do
- Maintain accurate records of daily transactions, receipts, and invoices.
- Reconcile bank and credit card accounts on a regular schedule.
- Track recurring payments and vendor invoices, and flag anything that looks off.
- Communicate with banks, insurance providers, and other institutions on account matters, including new account opening, document submission, and follow-up through to completion.
- Research the requirements and steps for administrative and financial processes that are new to us, and lay out what is needed to get them done.
- Organize and maintain clean digital filing for all financial and account documents.
- Prepare monthly summaries for review.
- Coordinate with office and household staff to collect documentation.
What we're looking for
- 3 to 6 years of bookkeeping or finance administration experience, ideally with a small business, family business, or private employer.
- Comfortable owning a full set of books end to end without a large accounting team around you.
- Confident handling paperwork and phone conversations with banks and other institutions, and persistent enough to see a multi-step process through to completion.
- A reliable personal system for tracking open items over weeks, not just days.
- Proficiency with QuickBooks or similar; solid Excel.
- A high standard for accuracy and genuine satisfaction in keeping things clean and current.
- Absolute discretion with confidential and personal information.
What this role is not
- This is not a stepping stone to a Controller or senior accounting position, and it is not a fast-paced or high-growth environment. If you're looking to build a team or move up quickly, this won't be the right fit. We're looking for someone who enjoys doing this work well, year after year.
