As the Purchasing Coordinator for P&H Interiors you are the person that facilitates the acquisition of project specified items. Your ability to read construction documents, question things that puzzle you or don't make sense, following up, completing documentation thoroughly and accurately along with your attention to detail are what make you successful in this role. You love to solve problems and uncover whatever you need to know to get the job done and done correctly. As someone who understands that asking questions, research, prioritization, organizational skills and driving clarity are your best tools. You’re someone who thrives on being busy and enjoys a fast-paced environment that showcases your ability to identify and resolve challenges while working on multiple projects simultaneously.
Your growing knowledge of textiles, custom furniture, window treatments etc. and your comfort with quotes, purchase orders and detailed specs is essential to this role. Most importantly you know that the quality of your relationship with your team members, vendors, the trades, and craftsman are what create peace of mind for everyone involved, allows projects to run smoothly and ultimately makes this role so fulfilling.
Key Accountabilities:
- Translate images for custom pieces to words and provide detailed specifications per item within the project proposal
- Solicit quotes for custom furnishings, custom built-ins, custom window treatments etc. by interpreting the concept including all components of item's design
- Check current stock, pricing, and extended lead times
- Secure the most current pricing furnishings, accessories, wall covering, etc. with surcharges, tariffs, minimum order fees etc. for client proposals
- Secure shipping and receiving quotes
- Generate, process, and review each purchase order for accuracy prior to submitting
- Create, organize, and upload quotes to client folder
- Review and reconcile acknowledgement from vendors to ensure accuracy of design aesthetics, specs, quantities, pricing, shipping address and lead times
- Prepare and submit requests to Accounting, ensuring accuracy and compliance with company procedures.
- Coordinate and issue vendor payments as required to support project timeliness and vendor relationships.
- Organize, prepare, and submit all deposit requests to Accounting by established deadlines to ensure timely processing.
- Every purchase order has the associated quote attached
- Create two copies of proposal books for clients as directed by the design team.Competencies
Competencies
- Associate’s or bachelor’s degree in Interior Design preferred
- 2+ years experience in purchasing and construction preferred
- Have a clear understanding of construction documents and spatial visualization
- Knowledge of textiles, decorative & privacy window treatment design, custom pillows & bedding, reupholstering of furniture, custom furniture & built-ins, wallcovering, lighting, etc. preferred
- Excellent time management, organizational and multi-tasking skills
- Requires professional and effective speaking, listening and written communication skills to drive clarity and accuracy
- Work effectively in a team environment, self-directed yet able to ask for help when necessary
- Helpful, optimistic, focused, driven to accuracy, and take psychological ownership of what you say and do. Punctual, meticulous, and reliable
- Dress the part of working in a design professional environment. Adherence to relevant health & safety procedures
