Job Description: EMR and Medical Billing Specialist
Location: In Office – Village of North Palm Beach
Employment Type: Part-Time (20–30 hours per week)
Reports To: Practice Owners
Position Summary
The EMR and Medical billing Specialist is responsible for overseeing the daily administrative, operational, and financial functions of the practice while ensuring efficient patient scheduling, accurate medical billing, and compliance with healthcare regulations. This individual serves as the central point of coordination between providers, patients, insurance companies, and billing services to maintain smooth office operations and exceptional customer service.
The ideal candidate has experience working in a medical, behavioral health, mental health, or therapy practice and is proficient with Electronic Health Record (EHR) and Electronic Medical Record (EMR) systems. Experience with CollaborateMD, SimplePractice, or similar healthcare practice management platforms is strongly preferred.
- Manage the day-to-day operations of the medical office.
- Answer and direct incoming telephone calls professionally.
- Welcome patients and visitors while maintaining confidentiality.
- Coordinate provider schedules and appointment calendars.
- Schedule, reschedule, and confirm patient appointments.
- Maintain office supplies and coordinate vendor services.
- Organize and maintain electronic and paper records.
- Assist with onboarding new providers and administrative staff.
- Ensure office policies and procedures are followed.
EHR / EMR Management
- Maintain patient records within the EHR/EMR system.
- Create and update patient demographic information.
- Verify insurance information before appointments.
- Upload referrals and supporting clinical documentation.
- Assist providers with documentation workflows.
- Monitor documentation completion and outstanding records.
- Maintain HIPAA compliance and patient confidentiality.
- Preferred systems: CollaborateMD, SimplePractice, Kareo, Athenahealth, AdvancedMD, eClinicalWorks, TherapyNotes, NextGen Healthcare, Practice Fusion, and other healthcare practice management software.
Medical Billing & Revenue Cycle Management
- Generate and submit electronic insurance claims.
- Review claims for accuracy before submission.
- Post insurance and patient payments.
- Follow up on unpaid and denied claims.
- Resolve billing discrepancies with insurance carriers.
- Process patient statements and payment plans.
- Verify insurance eligibility and benefits.
- Obtain prior authorizations when required.
- Monitor accounts receivable aging reports.
- Reconcile daily payment activity.
- Coordinate with external billing companies when applicable.
Patient Services
- Register new patients.
- Collect insurance cards and required documentation.
- Obtain patient consents and intake forms.
- Collect copays, deductibles, and balances.
- Respond to patient billing inquiries.
- Maintain excellent customer service standards.
- Address patient concerns professionally and courteously.
Compliance & Quality Assurance
- Maintain HIPAA compliance.
- Follow OSHA workplace safety requirements.
- Ensure compliance with payer and regulatory requirements.
- Assist with audits and record requests.
- Maintain secure patient information.
- Support accreditation and quality improvement initiatives.
Financial & Administrative Support
- Assist with payroll preparation.
- Prepare weekly and monthly operational reports.
- Monitor office expenses.
- Track provider productivity.
- Support budgeting activities.
- Maintain filing systems and financial records.
- Assist with contract administration and vendor management.
Qualifications
- High school diploma or GED (Associate's or Bachelor's degree preferred).
- Minimum 3 years of medical office management or healthcare administrative experience.
- Minimum 2 years of medical billing and insurance claims experience.
- Experience using EHR/EMR systems.
- Knowledge of medical terminology.
- Experience with insurance verification and authorizations.
- Excellent customer service, organizational, communication, and Microsoft Office skills.
Preferred Qualifications
- Experience with CollaborateMD billing software.
- Experience with SimplePractice.
- Experience in behavioral health, mental health, psychiatry, psychology, ABA therapy, or primary care.
- Knowledge of CPT, ICD-10, and HCPCS coding.
- Familiarity with Medicare, Medicaid, commercial insurance, and workers' compensation billing.
- Experience with telehealth scheduling and documentation.
- Understanding of HIPAA and healthcare compliance.
