Atlantic Office Technologies (AOT) is seeking a detail-oriented and customer-focused Accounts Receivable & Office Administrator to support our daily financial, administrative, and customer service operations. This position plays a vital role in ensuring accurate billing, maintaining customer accounts, supporting contract administration, and providing exceptional customer service. The ideal candidate is organized, dependable, and capable of managing multiple priorities in a fast-paced office environment.
Primary Responsibilities
Accounts Receivable & Financial Administration
- Process monthly customer meter readings and generate accurate invoices.
- Maintain customer billing records and master account files.
- Process customer payments and reconcile accounts receivable.
- Monitor delinquent accounts and prepare aging reports.
- Prepare and balance daily bank deposits.
- Maintain accurate financial records and assist with financial reporting.
Customer Service & Office Administration
- Answer and direct incoming telephone calls professionally and courteously.
- Assist customers with billing, service, and supply requests.
- Create and dispatch service calls and supply orders for technicians.
- Monitor office email communications and respond promptly.
- Coordinate communication between customers, technicians, sales representatives, and management.
- Support daily office operations while maintaining an elevated level of customer satisfaction.
Database & Business Operations
- Maintain customer databases by adding new equipment, devices, and service locations.
- Process ACH payment transactions.
- Scan, organize, and electronically archive business records.
- Assist with sales tax reporting and financial record maintenance.
- Provide administrative support for special projects and other office initiatives as assigned.
Qualifications
· High school diploma or equivalent required; associate degree in business or accounting preferred.
· Minimum of 2 years of experience in accounts receivable, bookkeeping, office administration, or customer service.
· Strong organizational and time management skills.
· Excellent written and verbal communication skills.
· Proficiency with Microsoft Office (Outlook, Excel, Word).
· Ability to learn and use business management and accounting software.
· Strong attention to detail with excellent accuracy in data entry and financial recordkeeping.
· Experience with Quick Books Online
Preferred Skills
- Experience with customer billing and invoicing.
- Knowledge of accounts receivable processes.
- Familiarity with sales tax reporting.
- Experience with Autotask
- Ability to maintain confidentiality of financial and customer information.
Physical Requirements
- Prolonged periods of sitting and working at a computer.
- Ability to occasionally lift to 25 pounds.
- Ability to perform routine office tasks including filing and handling documents.
Pay: $15.00 - $16.00 per hour
