At Jackson Design and Remodeling (JDR), the Administrative Assistant/Receptionist will focus on supporting our Operations Manager, and the rest of our team with client service and administrative responsibilities. S/he will be the first impression of our company and must be cheerful, proactive, professional and have a solution driven attitude. Duties and responsibilities:
· Answer all incoming calls timely and professionally.
· Welcoming visitors and Clients identifying the purpose of their visit before directing them to the appropriate department.
· Support the team with high level administrative tasks that are vital to our success.
· Assist the Operations Manager with daily tasks, including minor IT support.
· Assist with Organizing team communications and plan events, both internally and offsite.
· Write eloquent and professional correspondences on behalf of the Leadership Team.
· Handle confidential and non-routine information.
· Maintain inventory or office supplies and marketing materials and place orders as needed and in a timely manner.
· Prepare outgoing mail; sort incoming mail; receive and oversee distribution of incoming mail.
· Maintain office equipment functionality such as printers, copiers and phones.
· Coordinate with Operations Manager for any office administrative issues.
· Run office errands as needed.
· Act as a liaison with other departments, including management and outside agencies.
· Schedule and organize company meetings and travel.
· Maintain clean and orderly common areas as well as filing systems.
· Oversee showroom orderliness including restock of refrigerators and coffee station, reset A/C and music controls daily.
· Prepare neighborhood letters for projects entering the construction phase.
· Assist with new employee on-boarding.
· Other duties as required.
Qualifications:
· 5 years experience in administrative role reporting directly to upper management.
· Superb written and verbal communication skills.
· Strong time-management skills and the ability to organize and coordinate multiple projects at once.
· Ability to provide excellent customer service in a fast-paced environment.
· Extremely detail oriented and Proactive!!
· Punctuality is highly important.
· Adept problem solver, able to think on your feet.
· Tech savvy and knowledge of printers and office equipment with the ability to troubleshoot common issues is required.
· Proficient level knowledge of Microsoft Word, Outlook, Excel, and Power Point, Zoom & DocuSign, etc.
· Minimum 5 years' experience working in a professional environment in an Administrative Assistant or Receptionist role.
Working conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected hours of Work
This is a full-time, non-exempt hourly position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m. with occasional overtime and Saturday work as needed.
