The Property Coordinator assists the Property Management team in the day-to-day operations and management of residential, commercial, or mixed-use properties. This role ensures smooth tenant relations, manages maintenance and repair requests, and coordinates with vendors and contractors to maintain the property's quality and compliance with regulatory standards. The Property Coordinator acts as the primary point of contact for tenants and plays a key role in supporting lease administration, tenant services, and property financial management.
Duties
Tenant Relations:
- Serve as the primary point of contact for tenants, addressing inquiries, requests, and concerns in a timely and professional manner.
- Coordinate tenant move-in and move-out processes, ensuring all necessary documentation, inspections, and maintenance are completed.
Maintenance Coordination:
- Manage maintenance and repair requests, coordinating with maintenance staff, vendors, and contractors to ensure timely and quality work.
- Perform regular inspections of properties to identify potential maintenance issues and oversee necessary repairs.
- Keep track of maintenance schedules, ensuring that preventive maintenance tasks are completed as planned.
Lease Administration Support:
- Assist in lease preparation, renewals, and amendments as directed by the Property Manager.
- Maintain accurate tenant records, including lease agreements, payments, contact information, and compliance documentation
Vendor and Contractor Management:
- Coordinate with vendors and contractors for property repairs, improvements, and services.
- Obtain quotes, manage contracts, and oversee performance to ensure vendors meet agreed-upon standards and timelines.
Financial Administration:
· Track and process invoices, tenant billing, and payments, following up on delinquencies as required.
· Support cost control measures by managing expenditures within budgeted limits.
Compliance and Safety:
- Ensure properties comply with local, state, and federal regulations, including safety, accessibility, and environmental requirements.
- Manage safety programs, emergency response procedures, and tenant notification systems.
Qualifications:
Education:
- High school diploma or equivalent required. Bachelor’s degree in Property Management, Real Estate, Business Administration, or related field is a plus.
Experience:
- 1-3 years of experience in property management or real estate coordination.
- Knowledge of property management software (e.g., Yardi, MRI, AppFolio) is preferred.
Skills:
- Strong organizational and multitasking skills with a high attention to detail.
- Excellent communication and interpersonal abilities, with a customer-service mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Other Requirements:
- Ability to handle confidential and sensitive information.
- Flexibility to respond to emergencies and perform occasional on-call duties outside of regular working hours.
