Marcum and Sons LLC is a growing heavy civil construction company specializing in excavation, grading, underground utilities, site development, airport improvements, and public works projects throughout the State of Oregon. We are seeking a highly organized, detail-oriented Office Manager to oversee daily administrative operations and support our field and project management teams.
Position Summary
The Office Manager will be responsible for managing administrative functions, supporting accounting and payroll processes, coordinating project documentation, maintaining compliance records, and serving as a communication hub between management, field personnel, subcontractors, clients, and vendors.
Key Responsibilities
Office Administration
- Manage daily office operations and administrative staff.
- Develop and maintain office procedures and systems.
- Coordinate company communications, correspondence, and records management.
- Maintain employee files, company licenses, certifications, and insurance documentation.
- Oversee office supplies, equipment, and vendor relationships.
Construction & Project Support
- Assist project managers with project startup and closeout documentation.
- Track contracts, subcontracts, change orders, certified payroll reports, and project compliance requirements.
- Maintain project filing systems and construction records.
- Coordinate document submissions to owners, engineers, and subcontractors.
Accounting & Payroll Support
- Coordinate accounts payable and accounts receivable processes.
- Prepare and submit invoices and owner billings.
- Review vendor invoices and subcontractor payment applications.
- Payroll processing and certified payroll reporting.
- Monitor job cost reports and administrative project tracking.
Human Resources & Compliance
- Employee onboarding and offboarding.
- Track training requirements, certifications, and safety records.
- Support hiring efforts and employee communications.
- Ensure compliance with company policies and government regulations.
Required
- 3+ years of office management, construction administration, or related experience.
- Strong knowledge of Quickbooks, Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Knowledge of certified payroll, prevailing wage regulations, and public contracting requirements.
- Excellent organizational, communication, and time management skills.
- Ability to manage multiple priorities and deadlines.
- Experience maintaining confidential information with professionalism.
Preferred
- Experience in heavy civil construction, excavation, utilities, roadwork, or public works contracting.
- Experience with construction accounting or project management software & Quickbooks
- Familiarity with subcontract administration, contracts, and compliance documentation.
