Position Overview: We are seeking a Legal Intake Specialist to serve as the first point of contact for prospective clients. This role is essential in creating a strong first impression and involves gathering detailed information to assess client needs and determine how our firm can assist.The ideal candidate will demonstrate excellent communication skills, empathy, professionalism, and the ability to multitask in a fast-paced environment. This position works closely with a highly experienced and collaborative team, including attorneys, paralegals, and administrative staff.
Key Responsibilities:
- Answer incoming calls and conduct initial intake interviews with prospective clients
- Accurately enter and maintain client information in the case management system
- Evaluate prospective client needs and determine eligibility in accordance with firm guidelines
- Schedule initial consultations and manage appointment calendars
- Provide clear information about firm services, processes, and next steps
- Assist with onboarding new clients
- Send appointment reminders and follow up on missed consultations
- Follow up on pending engagement letters and retainers
- Perform additional administrative and support tasks as needed
Qualifications
- 2–5 years of experience in customer service, sales, or a related field
- Strong interpersonal skills and the ability to build rapport with clients
- Excellent organizational and multitasking abilities
- Positive, professional, and team-oriented attitude
- High level of attention to detail
Technical Skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with case management systems (Clio preferred)
- Familiarity with legal or time entry software is a plus
Preferred Experience
- Experience in Estate Planning or Business Law (1+ years preferred)
- Experience using Clio or similar legal software
- Microsoft Office experience (1–3 years preferred)
Education
- High school diploma or equivalent (preferred)
