Pay Range: $21.97 - $24.17 per hour (effectively $40,000 - $44,000 per year)

Role Summary: The Receptionist – OTDA will manage incoming calls, efficiently forward them, and take accurate messages for staff. This role requires the ability to assess and address client needs, particularly during crises or challenging situations. The Receptionist will determine the appropriate use of systems, identify whether callers are current clients, and direct calls to the assigned staff accordingly. New callers will receive relevant information to address their inquiries or be referred to the Intake process. Compassion, patience, and strong communication skills are essential, alongside exceptional organizational abilities to ensure messages are recorded accurately and promptly. Staff are encouraged to undergo cross-training and gain insight into job functions within their designated units.
Primary Job Responsibilities/Duties:
The Receptionist – OTDA responsibilities include, but not limited to:
- Provide direct services to new clients, including taking messages, engaging with them, conducting initial assessments, offering referrals, and following up as needed.
- Document all interactions with or on behalf of clients thoroughly and promptly.
- Maintain up-to-date knowledge of program resources available both on- and off-site.
- Attend staff meetings and serve on committees as required.
- Participate in professional meetings, educational conferences, and in-service training sessions.
- Ensure current and accurate documentation, progress notes, and data tools are maintained in both physical and electronic formats.
- Uphold strict confidentiality standards.
- Maintain a professional appearance at all times.
- Demonstrate effective time management and prioritization skills.
- Collaborate with staff across departments as needed.
- Perform general clerical duties to support office operations.
- Foster and maintain effective communication with other programs and units within the organization to facilitate inter-agency referrals.
- Provide coverage for other areas as directed or required.
- Perform additional duties as assigned by management.
Physical Requirements:

Ability to walk, stand, kneel, crouch, and bend over.
- Ability to lift, reach, and handle objects weighing up to 25 pounds.
- Ability to sit at a desk and work on a computer for prolonged periods.
- Ability to travel to different locations within New York City, as needed
Work Environment / Schedule Requirements:

While standard business hours are Monday through Friday, 9:00 AM to 5:00 PM, employees may be required to work on or during evenings, weekends, and holidays.
Qualifications:
- College degree from an accredited four-year university or a High School diploma; some college coursework with comparable experience in a legal setting or a similar environment is preferred.
- Ability to thrive in a stressful environment is essential.

- Demonstrated professional ethics and integrity.
- Excellent communication, writing, and organizational skills.
- Proficiency in speaking, reading, and writing Spanish is mandatory.
- Exceptional attention to detail with a meticulous approach.
- Must be able to read, speak, write, and understand English for administrative purposes.
- Must pass drug screening to be appointed.
- This position may be subject to a series of investigations before and after appointment.
