Job Summary
We are seeking a dedicated and detail-oriented Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support functions to ensure smooth office operations. The ideal candidate will possess strong organizational skills, proficiency in accounting software, and excellent communication abilities. You will play a vital role in maintaining accurate financial records, managing office tasks, and providing exceptional customer service to clients and colleagues alike.
Duties
- Manage day-to-day bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking
- Handle front desk responsibilities such as greeting visitors, managing multi-line phone systems, and directing calls with professional phone etiquette
- Maintain organized filing systems both physically and digitally, including client records and financial documents
- Support office management activities by coordinating calendar appointments, scheduling meetings, and managing correspondence
- Provide customer support through effective communication via phone, email, and in-person interactions
- Assist with data entry tasks related to billing, payroll, and financial reporting
- Proofread documents for accuracy and clarity before distribution or filing
- Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration
- Support personal assistant duties such as calendar management and task prioritization
- Ensure timely completion of clerical duties including typing, proofreading, and filing
Requirements
- Proven experience in office administration or clerical roles with a strong background in bookkeeping
- Proficiency in QuickBooks accounting software and Microsoft Office applications
- Excellent computer literacy skills with familiarity in Google Workspace tools
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are highly desirable to serve diverse client needs
- Previous experience as a dental or medical receptionist is a plus
- Exceptional customer service skills coupled with professional phone etiquette
- Experience managing multi-line phone systems and calendar scheduling
- Attention to detail in proofreading, data entry, and financial record keeping
- Ability to prioritize tasks effectively using time management techniques
