We are looking for a mature, experienced, and highly organized Executive Assistant to provide direct administrative and professional support to company leadership. This role demands the highest level of confidentiality and discretion, and is best suited to a self-starter who takes pride and ownership with minimal supervision.
Principal duties
- Draft and produce professional business correspondence, reports, and communications with complete accuracy
- Manage executive calendars, schedule appointments, and proactively resolve scheduling conflicts
- Screen and direct phone calls; manage and distribute incoming correspondence
- Establish and maintain an organized filing system — both physical and digital — ensuring confidential materials are stored and handled appropriately
- Prepare reports by gathering, analyzing, and summarizing relevant information
- Coordinate meetings, projects, and critical deadlines; monitor progress and follow through to completion
- Assist with marketing support including website updates, social media, and newsletters
- Manage office equipment and vendor relationships (IT, software, copiers) including basic troubleshooting
- Support recruiting, onboarding, and benefits administration for office staff
Qualifications
- Minimum 2 years of Executive Assistant or Office Manager experience (required)
- Proficient in Microsoft Word, Excel, PowerPoint, Outlook 365, and Adobe. Knowledge of Yardi Voyager a plus. Ability to quickly learn new software
- Exceptional organizational and time management skills — ability to keep executives and the office organized
- Strong written and verbal communication skills; produces correspondence with 100% accuracy
- Demonstrated ability to handle sensitive and confidential information with the utmost discretion
- Able to manage multiple priorities and resolve issues in a timely manner with minimal disruption
- Commercial real estate experience and accounting or bookkeeping experience a plus
