We are currently seeking a motivated, organized, and dependable assistant office manager to join our administrative team.
Position Summary
The assistant office manager works closely with the office manager to ensure the efficient day-to-day operation of the agency. This position provides administrative and operational support by assisting with daily office activities, coordinating staff and client communications, maintaining records, and completing tasks assigned by the office manager or the corporate office.
The ideal candidate is detail-oriented, professional, able to multitask in a fast-paced environment, and committed to delivering exceptional customer service while supporting agency operations.
Key Responsibilities
- Assist the office manager with the daily operation of the office.
- Perform administrative duties and special projects assigned by the office manager or corporate office.
- Answer incoming telephone calls professionally and direct calls to the appropriate personnel.
- Communicate effectively with clients, caregivers, nurses, therapists, physicians, and other healthcare professionals.
- Assist with employee scheduling and staffing coordination to ensure appropriate client coverage.
- Help resolve employee and client concerns promptly and professionally.
- Review employee timesheets for completeness and accuracy before payroll processing.
- Assist in auditing Electronic Visit Verification (EVV) records to ensure compliance with agency and payer requirements.
- Maintain accurate employee and client records while ensuring confidentiality.
- Assist with onboarding, orientation, and documentation for newly hired employees.
- Monitor call-offs, staffing changes, schedule adjustments, and employee attendance.
- Follow up on outstanding paperwork, certifications, and compliance documentation.
- Prepare reports, organize files, and maintain office documentation.
- Work collaboratively with the Office Manager, Corporate Office, and other administrative staff to ensure smooth agency operations.
- Maintain compliance with HIPAA and all agency policies and procedures.
- Perform other duties as assigned by the office manager or corporate office.
Qualifications
- High school diploma or equivalent required.
- An associate degree or a bachelor's degree in business administration, healthcare administration, or a related field is preferred.
- Previous administrative, office assistant, scheduling, customer service, or healthcare experience is preferred.
- Experience in a home health agency is an advantage but not required.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize responsibilities effectively.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams).
- Experience with EVV systems, scheduling software, or healthcare management software is a plus.
- Strong problem-solving abilities and attention to detail.
- Ability to work independently while collaborating effectively within a team.
- Professional attitude with excellent customer service skills.
