Job Summary:
The EVV Coordinator is responsible for monitoring Electronic Visit Verification (EVV) operations, with a focus on call monitoring, compliance, and pre-billing accuracy. This role ensures caregivers are properly utilizing EVV tools, and addresses exceptions in real time. The EVV Coordinator will perform administrative tasks and services to support effective and efficient operations of the organization’s overall payroll and billing process.

Duties/Responsibilities:
· Monitor daily EVV activity to ensure caregivers are accurately clocking in and out for all scheduled shifts.
· Maintain an EVV compliance rate of 97% or higher for assigned participants and caregivers.
· Manage and maintain an assigned caseload of up to 85 participants and their respective caregivers.
· Perform additional duties and responsibilities assigned by management to support departmental and organizational needs.
Monitor, Review and Resolve EVV exceptions including:
· Missed clock-ins and clock-outs
· GPS out-of-range alerts
· Overlapping shifts
· Schedule discrepancies
· Caregivers exceeding authorized or scheduled hours
· Contact caregivers daily regarding missing visits, GPS out-of-range alerts, missed clock-ins or clock-outs, and visits exceeding scheduled hours.
· Obtain verbal confirmation from both caregivers and participants prior to processing manual EVV edits.
· Send timesheets to caregivers and participants for confirmation of:
· Missing clock-ins or clock-outs.
· Hours worked outside scheduled timeframes.
· Missing duty tasks.
· Identify recurring EVV issues and develop corrective action plans with caregivers.
· Conduct daily follow-up calls with caregivers regarding compliance concerns.
· Review and audit timesheets for accuracy prior to payroll processing deadlines.
· Communicate caregiver vacation requests and schedule discrepancies to the Payroll Department.
· Maintain accurate documentation in HHA Exchange of all outreach attempts, corrections, and follow-up actions.
· Assist with caregiver education and retraining related to EVV requirements and agency policies.
· Assist caregivers with troubleshooting issues related to the HHA Exchange application.
· Identify billing or insurance issues affecting participant schedules and notify the appropriate department for resolution.
Communication with Managed Care Organizations (MCOs) and Service Coordinators
including:
· Participant and caregiver travel dates.
· Hospitalizations and Emergency Room visits.
· Trigger incidents requiring notification.
· Updated authorizations and authorization discrepancies.
· Service interruptions that may impact participant care.
Monthly Authorization Responsibilities:
· Update the Master Schedule monthly for all participants assigned to the caseload.
· Monitor authorizations approaching expiration dates and proactively contact assigned Service Coordinators to obtain updated authorizations.
· Ensure participant schedules accurately reflect authorized hours and services.
Required Skills/Abilities:
· Must be bilingual – English and Spanish
· Excellent verbal and written communication skills, including clear verbal and written communication with clients, families, and internal teams.
· Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
· Excellent organizational skills and attention to detail.
· Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
· Strong interpersonal skills to build trust, demonstrate empathy, and support clients and families during the onboarding process.
· Experience in customer or client onboarding, with the ability to manage multiple onboarding cases and ensure timely completion of required steps.
· Detail-oriented, with the ability to manage priorities in a fast-paced environment.
· Comfort using computer systems and software for data entry, documentation, and communication; experience with client management systems (CRMs) is a plus.
· Ability to work on-site in Bensalem, PA, and collaborate effectively with cross-functional teams.
Education and Experience:
· High School Diploma required, Associates or Bachelor’s degree preferred.
· Software such as HHA Exchange & GIMBAL are preferred.
· Proficient in MS Office Suite (Word, Excel, Email).
· Previous experience in administrative healthcare, home care, social services, or a related client-facing field is preferred.
· Prior related office experience preferred.
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
