We are seeking an experienced and motivated Administrative Manager to join our financial services firm and play a key role in the day-to-day management of our office. This position is ideal for a strong leader who understands the demands of a professional financial services environment and has hands-on experience with tax preparation.
The Administrative Manager will oversee a team of approximately 15 advisors and staff, help ensure efficient office operations, and work closely with firm leadership on staffing, employee relations, and administrative matters. The ideal candidate is organized, approachable, confident, and comfortable taking ownership of both people and processes.
Key Responsibilities
- Supervise, support, and motivate a team of approximately 14 staff members.
- Provide day-to-day leadership and guidance to administrative and tax preparation personnel.
- Help manage workflow, staffing, scheduling, and workload distribution throughout the year, including during busy tax season.
- Assist with recruiting, onboarding, training, performance management, and other HR-related functions.
- Serve as a resource for employees and help foster a positive, professional workplace culture.
- Monitor office procedures and identify opportunities to improve efficiency and organization.
- Assist with tax preparation and/or review activities as needed.
- Help ensure tax-related work is completed accurately and according to firm procedures and deadlines.
- Coordinate administrative functions and support firm leadership with special projects.
- Communicate effectively with staff, clients, and firm leadership.
- Help maintain a professional, organized, and service-oriented office environment.
Qualifications
- Prior experience in tax preparation is required.
- Previous supervisory or management experience, preferably in an accounting, tax, financial services, or professional services environment.
- Demonstrated leadership skills and the ability to manage, motivate, and develop employees.
- Experience with HR-related responsibilities such as hiring, onboarding, employee communication, scheduling, and performance management.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and remain calm and organized during busy periods.
- Strong attention to detail and a commitment to accuracy and confidentiality.
- Proficiency with Microsoft Office and the ability to learn firm-specific software and systems.
