The Lead Certified Medical Assistant is responsible for performing all core MA duties, as outlined in the relevant job description, and for ensuring smooth day-to-day clinic operations by efficiently managing daily staffing schedules and coordinating patient flow. This role proactively addresses scheduling gaps due to leaves or vacations to maintain uninterrupted patient care. The Lead supports onsite operations independently from the Practice Administrator. Additional responsibilities include assisting with administrative tasks such as employee performance reviews, mentoring medical assistants, and performing clinical procedures under appropriate supervision.
NWOS is closed all weekends and major holidays. No night shifts or on-call.
Essential Functions:

1. It is the expectation of all NWOS employees to demonstrate and uphold all 19 NWOS Fundamentals
2. Efficiently manage MA Staffing of all daily schedules and coordinate patient flow to ensure smooth clinic operations
3. Manage morning staffing adjustments by responding to call-outs and modifying the daily staffing schedule to ensure adequate clinical coverage based on patient care needs
4. Proactively adjust and fill scheduling gaps by covering leaves and vacations to ensure continuous clinic coverage and uninterrupted patient care
5. Deliver independent onsite day-to-day operational support by managing responsibilities at a designated location separate from the Practice Administrator to ensure seamless clinic operations
6. Rotate new hires through shifts with existing medical assistants and lead their training, ensuring clinical competency and adherence to practice protocols
7. Oversee and maintain accurate inventory control for medical supplies, including stocking, tracking usage, monitoring expiration dates, and ensuring necessary supplies are always available to support patient care
8. Ensure timely and consistent sterile processing of medical instruments and equipment is performed on a daily, weekly & monthly basis, in compliance with infection control protocols and safety standards.
9. Support the Practice Administrator in a variety of administrative duties to include: 90-day and annual employee reviews
10. Provide peer-level mentorship to medical assistant,s acting as a mentor, coach, or point of contact
11. Perform monthly random chart audits, as directed by the Practice Administrator, to ensure Medical Assistants maintain a minimum of 90% charting accuracy
12. Act as the go-to expert for the EHR system, supporting MAs with training, troubleshooting, and optimizing workflows to ensure accurate and efficient documentation
13. Additional duties as assigned
QUALIFICATIONS:
Required:
- 3 years of experience as a Certified Medical Assistant in Orthopaedics
- Obtained Advanced MA status at NWOS (or will within 90 days of hire)
- High school diploma or general education degree (GED)
- Current State of Washington Medical Assistant Certification. The employee pays for the initial application and subsequent renewals for certification upfront and receives reimbursement from NWOS.
- A valid BLS
Preferred:
- Experience managing inventory and medical supplies
- Experience with Electronic Health Records (EHR) systems
- Supervisory experience or office management experience
- Orthopedic clinic experience
