SHINE Systems is seeking a Senior Staff Operations Officer to provide high-level executive support to senior leadership for our customer. This role is critical to ensuring efficient daily operations, executive coordination, and administrative support in a fast-paced, mission-driven environment.
The ideal candidate will have extensive experience supporting senior leaders, managing competing priorities, and operating effectively within high-tempo government environments.
Responsibilities
- Manage executive calendars, schedules, and appointments to ensure efficient time management and prioritization
- Provide full support for Staff Meetings, Town Halls, and recurring leadership engagements, including conference room setup, presentation management, note-taking, tracking action items, and post-meeting closeout
- Draft, edit, and review executive-level correspondence, guidance documents, and summaries
- Process travel orders and associated documentation in accordance with government requirements
- Develop, maintain, and update office-level Standard Operating Procedures (SOPs)
- Coordinate meetings, conference room logistics, and special events
- Maintain organized and accurate records, files, and documentation
- Prepare executive-level briefings, reports, and summaries as needed
- Assist in developing visual materials, including charts, graphics, and presentations
- Manage and track taskings using DARTs, including ingesting, cataloging, distributing, monitoring progress, providing status updates, and ensuring timely closeout of both DARTs and non-DARTs actions as required by the COR/TPOC
Required Qualifications
- Minimum 10 years of experience in a senior executive assistant or executive support role, preferably within the Department of Defense (DoD) or Intelligence Community
- Experience using DARTs for tasking management, including tracking and coordinating deliverables across stakeholders
- Demonstrated ability to perform effectively in fast-paced, high operational tempo environments
- Bachelor’s degree (Business Administration or related field Required)
Preferred Qualifications and Skills
- Experience supporting the Department of Defense (DoD) or Intelligence Community
- Strong written and verbal communication skills
- Ability to work independently and manage priorities with minimal supervision
Required Security Clearance
- Top Secret/SCI with CI Poly
Education
- Bachelor’s degree (Business Administration or related field Required)

This position is contingent upon the successful award of a contract. We are currently building a team of qualified candidates to be proposed for this upcoming project.
Compensation & Pay Scale:
Salary Range: $55,000 to $130,000
Determination: The final salary offered will be based on the awarded contract funding and the selected candidate's experience, education, and geographic location.
