Position Summary
The Admissions Coordinator has the privilege of being one of the first points of connection for prospective students and families seeking a new beginning This role will support the enrollment process from the initial information request, through data and document collection, to customer orientation. The Admissions Coordinator plays a key role in maintaining accurate data, supporting compliance reporting, and creating a positive enrollment experience for prospective students and families.
Key Responsibilities:Enrollment Activities
- Provide excellent customer service to internal and external clients by ensuring that information is disseminated to customers in order to resolve enrollment-related issues
- Request and document the receipt of cumulative education record folders
- Collect enrollment documents and ensure compliance with enrollment policy
- Conduct school orientation sessions for parents/guardians and customers
- Request and document receipt of transcripts
- Support student recruitment, retention, and community engagement efforts by attending outreach activities and engaging in relationship building within the communities served.
- Conduct home visits as needed to support enrollment outreach and family engagement.
- Support components related to the extended client services (i.e. childcare and transportation services) for new customers
- Maintain up-to-date client files with all required documents as instructed by Administration
Data Input and Maintenance
- Collect, input, update, and maintain customer data into client systems (i.e., Power School and FOCUS)
- Plan, organize, and schedule all data activity related to FTE reporting
- Serve as the client’s FTE terminal operator and local contact
- Collect and maintain all documentation needed for audit and compliance reporting.
- Forecast FTE counts and report accordingly
- Ensure efficient, timely, and accurate data input
- Maintain testing data for reporting and informational purpose
- Monitor and ensure that all customer and staff information is accurate and meets the current specifications of the DOE
- Perform general office duties as requested by management.
- Complete assigned tasks virtually or at on-site locations as needed.
- Perform other duties as assigned
Minimum Qualifications
Requirements
- High school diploma or equivalent required
- Minimum of two (2) years of experience working with data processing software, database/records management systems, and related technology applications; equivalent coursework in computer applications, data processing, or related technical programs may be considered
- Proficiency in Google Suite or similar business software, including spreadsheets, word processing, presentation tools, internet navigation, online research, and database entry systems
- Strong written and verbal communication skills
- Ability to successfully complete required background check and fingerprinting clearance
- Ability to operate standard office equipment
- Working knowledge of organizational policies, procedures, and applicable regulations
- Ability to work flexible hours as needed
- Valid Florida driver’s license, reliable transportation, and current automobile insurance required

Working Conditions
EnvironmentRequires working indoors in an environmentally controlled office setting. Requires sitting for the majority of the day. This is a 12 month non-exempt position. This position will require travel to multiple campuses. It may require travel within or outside of the United States (i.e., internationally).
Physical Requirements
Generally, the job requires 60% sitting, 20% walking and 20% standing. Hearing and speaking to exchange information; seeing to read, prepare, and proofread documents; sitting for extended periods of time; dexterity of hands and fingers to operate office equipment; kneeling, bending at the waist, and reaching overhead, above the shoulders and horizontally, to retrieve and store files and supplies; lifting light objects. The ability to lift, carry, move and/or position objects infrequently weighing no more than 20 pounds.
