The role
You are the person our patients talk to. Someone submits an inquiry about a dental implant case or an IVF cycle, and from that moment until they are booked and traveling, you are their point of contact.
This is a patient care role and a sales role at the same time. Patients come to us anxious. They are considering surgery in another country, often after a US quote that shocked them. Your job is to answer honestly, keep them moving, and know when to pick up the phone instead of sending another email.
We measure this role on how many patients make it from first inquiry to a completed treatment plan. You will have real influence over that number.
What you will do
- Respond to new patient inquiries by phone, SMS, and email, usually within the hour
- Sit in on the opening of every patient consultation with a clinic, confirm both sides are on, and sort out any technical problems before stepping back
- Coordinate with our clinic partners to get treatment plans and quotes back to patients
- Move every patient forward through our pipeline and keep the CRM accurate as you go
- Follow up with patients who go quiet, which is most of the work most weeks
- Handle scheduling, pre-travel questions, and the logistics patients worry about
- Tell us what patients keep asking so we can fix it upstream
What you need
- Two or more years as a patient coordinator, patient care coordinator, treatment coordinator, or case manager in a clinic, dental practice, surgical center, or hospital. This is the hard requirement. You have sat across from patients or been on the phone with them, and you know how a treatment plan turns into a booked case.
- Real comfort on the phone. Most of this job is calls, and the calls are the part that works.
- Hands-on CRM experience. We use Zoho Bigin. If you have run a pipeline in Salesforce, HubSpot, Dentrix, or anything similar, you will pick it up in a day.
- Strong written English. You will send a lot of email and SMS.
- Working knowledge of how to handle patient information properly.
- A quiet place to take calls and reliable internet. You will be discussing patient health information, so it needs to be private.
- Based in the US, in the Eastern, Central, or Mountain time zone. Our clinic partners work on those hours and you will be talking to them daily.
Nice to have
- Experience in dental, fertility, hair restoration, or aesthetics specifically
- Conversational or fluent Spanish
- Experience with high-ticket cases, where patients are deciding on $5,000 to $30,000 of treatment
- Any exposure to medical tourism
- You have worked at a company small enough that the process did not exist yet and you built it
What this is not
This is not a front-desk scheduling job. Nobody is handing you a queue and a script. If a patient stalls, it is on you to figure out why and call them. If you want a role where the work is defined for you, this will frustrate you.
There is also no insurance work here. Our patients pay cash, so you will never chase a prior authorization or explain a deductible again. If verification and benefits took up half your last job, that half is gone.
Hours and growth
Starts at 20 hours per week. We expect to move this to full-time within a few months as inquiry volume grows. We would rather tell you that up front than surprise you. If you are only looking for permanent part-time work, this is probably not the right fit.
Outside of patient consultation calls, you set your own hours. We care that patients get answered quickly, not that you are at a desk between 9 and 5.
Compensation
$24 to $30 per hour depending on experience, plus $100 for every patient you bring through to a completed treatment over $1,500.
This is a W2 position, not contract work. We pay our half of your payroll taxes. You are a part-time employee from day one, with a 90-day review once you are settled.
No degree required. We care about what you have done, not where you studied.
