People's Self-Help Housing (PSHH) is looking for a dependable, organized, and people-focused HR administrator to join our team and help support the day-to-day needs of our employees and HR department. With a mission to build affordable homes with site-based services that offer opportunities to change lives and strengthen communities, People's Self-Help Housing is the longest-serving nonprofit developer on California’s Central Coast. We serve low-income working families, farmworkers, seniors, and veterans and provide welcoming environments for those living with disabilities and for the formerly homeless. Along with building and managing beautiful and accessible neighborhoods in San Luis, Santa Barbara, and Ventura counties, we offer a broad array of programs to promote health, education, and connections to community-based resources.
This position is full time (40 hours per week, 5 days per week).

Responsibilities:
- Prepare for new hires by creating orientation packets, preparing personnel folders, running background/education checks, and notifying support teams of the upcoming hires.
- Host new hire orientations, reviewing policy and program information and walking new employees through various processes, paperwork, benefits, and next steps.
- Enter new hire information into the required systems, such as Paylocity onboarding, the onboarding ticket system, and the new hire tracking spreadsheet.
- Supporting recruiting efforts as needed by posting positions on job boards, sourcing candidates, holding introductory conversations, scheduling interviews, and sending offers.
- Support employee exits, including the creation of exit paperwork and transaction forms, submission of exit tickets, and filing of final documents.
- Manage employee changes (compensation, position, location, hours, etc.) by creating and routing internal transaction forms for signature.
- Maintain inventory of new hire materials and onboarding supplies to ensure all necessary items are available and fully stocked. Monitor inventory levels and proactively coordinate with the appropriate team members to place orders and replenish supplies as needed.
- Maintain accurate inventory of office supplies and monitor stock levels to ensure the office remains adequately stocked. Coordinate and place supply orders with manager approval as needed.
- Manage all paper filing needs related to direct tasks managed (e.g., transaction forms, change agreements, new hires, exits, etc.) and specific ad hoc requests from the HR manager.
- Support various annual tasks, such as ordering/distributing labor law posters, mailing pension packets and W2 statements, and assisting with logistics and communication of annual programs and updates (harassment prevention training, performance appraisals, etc.).
- Track and process credit card requests and stand-up desk requests and manage all invoices.
- Purchase and distribute digital birthday and anniversary cards for staff each month. Complete healthy moment raffles each week.
- Maintain new employee box
- DMV pulls for both TDG and PSHH are tracked on the credit card spreadsheet.
- Create a new employee announcement on Canva and post it.
- Respond to staff questions or requests related to basic employment policies and practices.
- Provide Spanish language interpretation (verbally and written) for corporate meetings and documents, where needed.
- Schedule and lead employee check-ins at 3, 6, and 12 months to assess progress and provide feedback
- Support other duties and projects as assigned by department management.
Requirements:
- Strong communication skills, both verbally and in writing. Bilingual (English/Spanish).
- Proficient in the use of the Microsoft Office Suite, especially Word, Excel, and PowerPoint. Familiar with Canva and Adobe Pro.
- General understanding of labor and wage-hour laws as they relate to human resources policies, specifically with a focus on California.
- Knowledge of human resources’ best practices, specifically as they relate to onboarding and recruitment.
- Collaborative and engaged while working in a team environment.
- 1-2 years in a professional office environment.
- Exposure to or general understanding of new hire onboarding, recruiting, and employment laws.
- Experience handling sensitive information and maintaining confidentiality.
- Ability to work independently, take initiative, and be a self-starter with minimal supervision.
- Strong time-management and organizational skills, with the ability to prioritize multiple tasks, meet deadlines, and manage competing priorities effectively.
- Demonstrates accountability, follow-through, and good judgment in managing daily responsibilities
- Experience creating reports and related visual materials from raw data based on desired or requested metrics.
- A bachelor's degree in business, finance, or accounting with an HR concentration or a related degree is preferred. Commensurate experience in lieu of an advanced degree is accepted.
- Candidates with a PHR, HRCI, or related certification will be prioritized.
- Sitting for long periods of time, some walking and stretching, occasional light lifting, and occasional travel by automobile.
- Some travel may be required during regular business hours.
