Fox Equipment is a locally owned heavy equipment rental, sales, service, and transportation company serving contractors, businesses, municipalities, and homeowners throughout Michigan.
As our company continues to grow, we're looking for an organized, dependable, and motivated Office Administrator / Business Coordinator to become an important part of our team. This position is ideal for someone who enjoys variety—no two days are exactly alike. You'll work closely with ownership and every department of the company, helping keep our office running efficiently while providing outstanding customer service.
This role can be full-time or part-time depending on the experience and availability of the right candidate.
What You'll Do
Responsibilities may include:
- Answer and direct incoming phone calls
- Greet customers and vendors
- Assist customers with rentals, sales, and service inquiries
- Prepare rental agreements and customer paperwork
- Maintain organized customer and employee files
- Assist with payroll preparation and employee records
- Process accounts payable and accounts receivable
- Prepare invoices and collect payments
- Assist with QuickBooks Online data entry
- Maintain business licenses, registrations, insurance renewals, and compliance records
- Organize DOT, trucking, and equipment documentation
- Coordinate office supplies and administrative needs
- Assist with work orders and service department paperwork
- Order office and shop supplies as needed
- Schedule meetings and maintain company calendars
- Assist with social media posts and equipment listings
- Create reports, forms, and spreadsheets
- Help develop and improve office procedures
- Perform general administrative duties to support daily operations

Preferred Qualifications
- Previous administrative or office experience
- Experience with QuickBooks Online (preferred but not required)
- Microsoft Office (Word, Excel, Outlook)
- Strong computer and organizational skills
- Experience in construction, trucking, equipment rental, agriculture, or a related industry is a plus
