Position Summary
The Business Office Manager/Human Resources Coordinator is responsible for overseeing the administrative, financial support, and human resources functions of the hotel. This position ensures efficient office operations while supporting recruitment, onboarding, employee relations, payroll administration, benefits coordination, compliance, and personnel record management. The ideal candidate is highly organized, detail-oriented, and committed to maintaining confidentiality while fostering a positive workplace culture.
Essential Duties and ResponsibilitiesHuman Resources
- Coordinate recruitment efforts, including posting job openings, scheduling interviews, and assisting hiring managers with candidate selection.
- Conduct new hire onboarding and orientation.
- Process new hire paperwork, employee status changes, and terminations.
- Maintain accurate employee personnel files and HR records.
- Coordinate employee benefits enrollment and assist with benefits questions.
- Monitor compliance with federal, state, and local employment laws.
- Assist with workers' compensation claims and return-to-work programs.
- Maintain required labor law postings and HR compliance documentation.
- Track employee certifications, training, and performance evaluations.
- Assist management with employee relations issues while maintaining confidentiality.
- Coordinate employee recognition and engagement initiatives.
Payroll & Timekeeping
- Review employee time records for accuracy.
- Process payroll information and coordinate with payroll providers.
- Maintain attendance, PTO, and leave records.
- Resolve payroll discrepancies with employees and management.
Business Office Administration
- Manage daily office operations and administrative procedures.
- Order and maintain office supplies and equipment.
- Prepare reports, correspondence, and presentations.
- Maintain confidential company and employee records.
- Assist with accounts payable and accounts receivable as assigned.
- Reconcile invoices and assist with financial documentation.
- Coordinate vendor communications and office service contracts.
- Answer phones and provide professional customer service to guests, employees, and vendors.
Compliance & Risk Management
- Ensure compliance with company policies and procedures.
- Maintain OSHA and workplace safety documentation.
- Assist during audits and inspections.
- Support hotel licensing and required business documentation.
- Maintain confidentiality of financial, personnel, and business information.
General Administrative Support
- Support department managers with administrative projects.
- Coordinate meetings and maintain meeting minutes when required.
- Assist with special projects assigned by management.
- Promote a positive and professional work environment.
Qualifications
- Associate's or Bachelor's degree in Business Administration, Human Resources, Accounting, or related field preferred.
- Minimum of 3 years of office management, HR, or hospitality administration experience.
- Hospitality experience preferred.
- Working knowledge of employment laws and HR best practices.
- Experience with payroll processing and HRIS systems preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to handle confidential information with discretion.
- Strong problem-solving and interpersonal skills.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Occasionally lift up to 25 pounds.
- Ability to use standard office equipment, including computers, telephones, copiers, and printers.
