Position Summary
The purpose of this position is to support the Controller in accounting; this role is responsible for ensuring all incoming payments are received and processed. This position requires you to keep a precise record of all incoming payments and to make contact with clients to ensure that outstanding invoices are paid. Position requires Accounts Receivable Representative to ensure that all receipts are tracked and regularly check for any discrepancies in payments received.
Essential Functions
Include, but are not limited to the following:
- Email or submit invoices via EDI.
- Generate all customer invoices.
- Verify all shipping documents (BOL’s, Picklist) are complete and accurate with counts, ship dates, signatures and lot numbers.
- Complete Packet (Invoice, BOL, Pick List) and provide it to front desk for filing.
- Must verify all pricing for accuracy and resolve any discrepancies with Sales Rep or Controller.
- Process customer returns and credits as applicable.
- Process daily checks and scan them to the bank.
- Post all payments to customer accounts, resolving any short payments, over payments, credits and discounts.
- Process weekly collections of all customer accounts. Make notes in Ross as applicable for each customer’s collections.
- Provide Controller and President weekly updates on collection problems, customer accounts exceeding credit lines. Communicate with shipping and receiving, controller, and President on any customer holds.
- Provide the customer with any and all requests, such as POD, COA, etc. for all shipped orders.
- Coordinate accounting matters and reporting with other departments and external customers.
Position Requirements:
Job Experience / Requirements
- Minimum of 5 years of Accounting Experience
- Bachelor’s Degree in Accounting or Finance.
- Strong knowledge of Excel is required.
- Strong knowledge of Generally Accepted Accounting Principles (GAAP).
- Experience with financial systems software required; QuickBooks preferred.
- Strong written and oral communication skills are necessary.
- Strong analytical skills
- Must be able to work under pressure, meet deadlines, multi-task and work independently and within a team.
- Must have the ability to work cooperatively and collaboratively with all levels of employees, management, and third parties.
Physical/Mental Environment:
- Regularly required to sit, stand, and walk for extended periods.
- Regularly required to use hands to handle objects and feel controls.
- Regularly required to reach; climb stairs; stoop; crouch.
- Regularly required to talk, listen, and have vision capabilities that enable reading and viewing a computer screen.
- Ability to lift up to 20 lbs.

Pay: $70,000.00 - $86,000.00 per year
