General Summary:
The Accounts Payable/Executive Assistant performs a variety of clerical and support tasks pertaining to business office processes. This position requires an in-depth knowledge of accounting procedures as well as an understanding of data processing procedures. The Accounts Payable/Executive Assistant supports the implementation of the college’s general financial policies, procedures, systems and reporting. This position requires the ability to communicate with a high degree of diplomacy and professionalism while maintaining confidentiality.
Duties and Responsibilities:
Examples of duties performed by this position include:
- Maintain purchase order and invoice files, validating and inputting invoices for payment, preparing, issuing accounts payable checks and reports.
- Prepare payroll checks to include checking timecards and other pay authorizations.
- Prepare reports as required.
- Assist in program reviews and audits as required.
- Monitor budget for purchasing and accounts payable and return documents to originating office for necessary adjustments.
- Assist with follow up on outstanding purchasing items, such as pending receipt of goods, documentation for expense reports and credit card statements, aging accounts payable and requesting refunds for outstanding credits.
- Research vendors, obtain W-9 forms, complete credit applications, and submit tax exempt forms to vendors.
- Assist with issuing and maintaining purchase orders.
- Serve as a point of contact for questions regarding business office procedures, inquiries regarding payment status of invoices, vendor history questions, etc.
- Provide clerical and administrative support for the business office to include but not limited to coordinating and scheduling meetings, organizing workshops, assisting with composing correspondence, handling mailings, making travel arrangements, and maintaining office files (physical and electronic).
- Other duties within the scope of this position as assigned by their supervisor.
Required Qualifications:
- Associate Degree in a related field (combination of education and experience may be considered).
- One (1) year relevant work experience.
- Knowledge and skill in operation of computer, desk calculator and other standard office equipment.
- Strong written and oral communication skills with the ability to effectively collaborate with a diverse population of individuals across all levels of the organization.
Preferred Qualifications:
- Associate degree in Accounting or Business.
- One (1) year experience in accounting or administrative support.
- Skill with Ellucian Colleague.
