Position Summary:
This EDC Assistant Director provides operational and high-level administrative support to the Executive Director and the Economic Development Corporation, including its enterprises. This role is essential to the day-to-day functioning of the St. Croix Tribal EDC and serves as a central point of coordination between leadership, tenants, employees, vendors, and clients. The ideal candidate is highly organized, proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Responsibilities:
Property, Tenant, and Operations Coordination
· Assist with administrative management of Southwinds Plaza tenants, including lease documentation, communication, and tenant inquiries.
· Coordinate with tenants regarding maintenance requests, general notices, and operational updates.
· Work closely with the EDC Maintenance Lead to ensure maintenance requests are logged, scheduled, and completed in a timely manner.
· Maintain records related to tenant occupancy, service requests, vendor work, and operational needs.
· Order office supplies, equipment, and materials necessary for EDC operations and its enterprises.
· Coordinate with vendors and service providers to ensure timely delivery of goods and services.
· Support operational needs across EDC enterprises as they develop and expand.
Administrative, Financial and Office Operations
· Serve as the primary point of contact for incoming phone calls, emails, and general inquiries related to the EDC and its enterprises.
· Maintain organized digital and physical filing systems for contracts, leases, invoices, vouchers, and correspondence.
· Keep the office environment neat, orderly, and professional by performing light housekeeping tasks such as tidying common areas, organizing workspaces, and restocking supplies.
· Assist the Executive Director with scheduling, meeting coordination, document preparation, and follow-up tasks.
· Act as a liaison between the Executive Director and EDC employees to ensure clear communication and timely execution of tasks.
· Process and manage vouchers for all incoming bills and expenses, ensuring accuracy, proper documentation, and timely submission.
· Assist with invoicing clients when applicable, including invoicing for EDC enterprise services such as trucking operations.
· Track invoices, payments, and outstanding balances; coordinate with finance staff or external partners as needed.
· Support budget tracking and reporting by maintaining accurate financial records.
Tribal Entrepreneur, Partner, and Community Support
· Serve as a liaison between the St. Croix Tribal Economic Development Corporation and tribal entrepreneurs.
· Provide entrepreneurs with information, resources, and referrals through EDC partners, consultants, and service providers.
· Assist with scheduling meetings, workshops, or consultations between entrepreneurs and EDC partners.
· Maintain organized record of entrepreneur inquiries, referrals, and follow-up actions to ensure timely support and communication.
· All other duties assigned by supervisor.

Scope and Complexity:
Interacts with all levels of management and employees; often trusted with maintaining confidentiality and relaying highly sensitive messages, and appropriate application of business operations and practices.
Physical Demands/Environment Factors:
● Primarily sedentary work performed in an office setting
● Regular use of standard office equipment including computers, phones, printers, and copiers
● Frequent sitting; occasional standing, walking, bending, reaching, and light lifting
● Ability to lift and/or move items such as office supplies, files, or packages weighing up to approximately 20-25 pounds
● Physical ability to perform light housekeeping tasks
● Need ability to communicate effectively through reading, writing, and speaking in person or on the telephone
● Ability to clearly see, read, and interpret information on computer screens, printed materials, and electronic devices for data entry and document review
● May require occasional travel between EDC facilities or properties
● Work environment includes office environment with moderate noise levels
Minimum Qualifications
● High school diploma or equivalent required; associate degree or higher preferred
● Experience in administrative, office management, or executive support
● Demonstrated experience working with Tribal governments, enterprises, organizations, or communities preferred
● Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
● Excellent written and verbal communication skills
● High attention to detail and accuracy, especially with financial and administrative documentation
● Must possess a strong work ethic, including excellent attendance and dependability
● Proficiency in Microsoft Office programs
● Ability to learn new systems, processes, and programs quickly
● Professional demeanor with ability to work effectively with leadership, staff, tenants, and external partners
Preferred Qualifications:
· Experience supporting property management, economic development, or small business operations
· Familiarity with invoicing, vouchers, or basic billing processes
· Strong problem-solving skills and ability to work independently
· Ability to handle confidential information with discretion
· Flexible, adaptable, and comfortable in growing and evolving
All candidates must possess a valid Wisconsin driver’s license, liability insurance, and pass a federal background check, which includes a drug screening.
