Cornerstone Retirement Partners and Cornerstone Insurance Services are sister companies serving the Grand Rapids area for over 20 years. Together, we provide a holistic approach to retirement — financial planning, investment management, tax planning, estate planning, and Medicare/health insurance guidance — all under one roof. Our small, close-knit team (currently 6-7 full-time staff) is growing, and we're looking to add 1-2 people who want a long-term home in a professional office.
The Role
We're looking for a full-time Administrative Assistant & Scheduling Coordinator to be the first voice our clients hear and the person who keeps our two offices running smoothly. You'll split your time supporting both the financial advisory side (Cornerstone Retirement Partners) and the insurance/Medicare side (Cornerstone Insurance Services) — answering phones, managing calendars for our advisors, and handling day-to-day administrative work.
This role has real room to grow. For the right person, it can develop into a hybrid administrative-producer position — similar to how a paralegal grows into supporting an attorney's caseload — with a path toward licensing, client-facing responsibilities, and production-based bonus opportunities.
What You'll Do
- Answer and route incoming calls across both businesses, providing a warm, professional first impression
- Schedule and manage appointments for advisors and Medicare/insurance specialists
- Maintain and update client records in our CRM (Redtail)
- Prepare client files, paperwork, and meeting materials
- Support event planning, client communications, and general office operations
- Assist with new business and client servicing tasks as you grow into the role
- Provide backup coverage and cross-train with other administrative team members
What We're Looking For
- Prior administrative, receptionist, or customer service experience (financial services or insurance experience a plus, but not required)
- Excellent phone presence and communication skills
- Strong organizational skills and comfort managing multiple calendars/priorities
- Proficiency with Microsoft Office; ability to learn CRM software (Redtail)
- A professional, team-first attitude — someone who takes ownership and wants to grow with a small company
- Notary Public certification a plus (or willingness to obtain)
Compensation & Benefits
- Starting salary: $42,000–$45,000/year (commensurate with experience), based on Grand Rapids-area market data for entry-level administrative roles
- 401(k) with 4% company match — eligible after 30 days

- Bonus eligibility tied to new business production, available after 6 months in the role
