Responsibilities
- Greet visitors, clients, and staff with a friendly and professional demeanor, providing exceptional customer support.
- Manage multi-line phone systems to answer inquiries promptly and direct calls accurately using proper phone etiquette.
- Handle data entry tasks efficiently using productivity software such as Microsoft Office and Google Workspace to maintain accurate records.
- Maintain office organization through filing, proofreading documents, and managing correspondence to ensure smooth workflow.
- Support office management duties including calendar management, appointment scheduling, and coordinating meetings or events.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Perform clerical duties such as photocopying, faxing, mailing, and managing office supplies to sustain an efficient work environment.
Skills
- Proven experience in office management or administrative roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Demonstrated ability in data entry, proofreading, filing, and maintaining accurate records.
- Strong customer service skills with the ability to handle inquiries professionally via phone or in person.
- Technical proficiency with multi-line phone systems and basic office equipment.
- Bilingual abilities are a plus for effective communication with diverse populations.
- Experience in medical or dental receptionist roles is advantageous but not required; familiarity with calendar management and personal assistant tasks is beneficial.
