Position Summary
The Office Administrator provides dependable administrative, financial, human resources, and office support across the organization. This position works closely with the CFO, maintains accurate records, supports payroll and benefits administration, coordinates training and safety activities, and serves as a professional first point of contact for employees, visitors, and callers.
Hours of work:
Monday - Friday 8:00am - 4:30pm
Essential Duties and Responsibilities
· Support the CFO with accounts payable and accounts receivable processing, payment administration, and transaction entry.
· Record daily banking transactions accurately and promptly in the Epicor ERP system.
· Assist the CFO with recurring daily, month-end, and other assigned financial and administrative activities.
· Process biweekly payroll accurately and in accordance with established schedules, policies, and applicable requirements.
· Coordinate employee benefit renewals and maintain related records and communications for Alliance Machine.
· Perform human resources administrative duties, including maintaining records, coordinating documentation, and supporting employee-related processes. Tasks included not limited to:
· Assisting with hiring working with posting job ads, working with staffing companies, and recruiters for hiring needs
· Onboarding new hires with all paperwork along with terminations and paperwork
· Assist employees with their questions and needs in regards to their employment
· Enrolling/terminating employee benefits working with reps on benefits offered
· Assisting managers with employee documentation as needed
· Performing employee time clock issues and adjustments
· Provide general administrative and office support throughout the organization, including data entry, document preparation, scheduling, and record maintenance.
· Answer incoming telephone calls, receive visitors at the front entrance, respond to general inquiries, and direct individuals to the appropriate personnel.
· Serve on the Safety Committee and assist the Safety Officer and committee with meeting coordination, training logistics, documentation, and follow-up support.
· Partner with management to identify training needs and schedule, coordinate, and facilitate shop training on an as-needed or annual basis.
· Maintain confidentiality and exercise sound judgment when handling financial, payroll, benefits, personnel, and other sensitive information.
· Perform other duties as assigned or as reasonably necessary to support business operations.
Qualifications and Competencies
· Strong verbal and written communication skills, including professional command of the English language.
· Bookkeeping or finance experience is preferred.
· Proficiency in Microsoft Office; experience with Epicor ERP is preferred but not required.
· Strong decision-making, problem-solving, organizational, and creative-thinking abilities.
· Ability to manage multiple responsibilities, respond to shifting priorities, and meet deadlines throughout the workday.
· Self-directed and dependable, with a willingness to accept additional duties and responsibilities as business needs evolve.

Pay: $60,000.00 - $70,000.00 per year
