THR Design Build, a premier custom home builder in Charlotte, NC, is seeking an experienced Office Manager to succeed our long-tenured Office Manager, who is retiring after a successful career with our company. This role oversees our day-to-day office operations while supporting the financial administration of our custom home building projects. It combines bookkeeping, project accounting, payroll, human resources, and administrative leadership. The ideal candidate is highly organized, financially savvy, and enjoys creating systems that help a growing company operate efficiently.
Principal Duties and Responsibilities
Office Operations
- Manage daily office operations and administrative functions.
- Coordinate vendors, office supplies, equipment, and facility needs.
- Serve as the primary point of contact for visitors, phone calls, and general office inquiries.
- Coordinate meetings, internal communications, and company events.
- Support ownership and project managers with administrative needs.
Accounting & Financial Management
- Manage accounts payable, accounts receivable, payroll, and bank deposits.
- Process subcontractor and vendor invoices using QuickBooks Online.
- Maintain accurate financial records and reconcile accounts.
- Process employee reimbursements.
- Prepare year-end 1099s and related tax documentation.
Construction Project Accounting
- Maintain job cost records and project accounting documentation.
- Review subcontractor invoices, lien waivers, insurance certificates, and supporting documentation.
- Coordinate project closeout financial documentation.
- Lead the post-job audit process, including preparation of project Profit & Loss reports.
- Assist ownership with financial reporting and project analysis.
Human Resources & Compliance
- Coordinate onboarding and employee records.
- Assist with payroll and benefits administration.
- Support workplace safety initiatives.
- Maintain vendor insurance, W-9s, licenses, and compliance documentation.
- Serve as a company notary (training and expenses provided).
Qualifications / Skills and Knowledge Requirements
- 5+ years of experience in office management, bookkeeping, construction accounting, or project administration (construction industry experience strongly preferred).
- Advanced proficiency with QuickBooks Online, including payroll.
- Strong knowledge of construction accounting processes, lien waivers, and job cost tracking.
- Experience supporting project financial operations in a fast-paced construction environment.
- Proficiency in Microsoft Office Suite, particularly Excel; experience with construction accounting and project management software such Buildertrend preferred.
- Excellent organizational skills with strong attention to detail, accuracy, and follow-through.
- Ability to maintain confidentiality while handling payroll, personnel, and financial information.
- Ability to manage multiple deadlines and shifting priorities while maintaining professionalism and responsiveness.
- Strong communication and interpersonal skills with the ability to collaborate effectively across project teams and departments.
- Self-starter who takes initiative, problem-solves independently, and contributes positively to a team environment.
