Job Overview
Go Time Properties is hiring a highly organized and dependable Scheduling Coordinator to oversee scheduling, project tracking, and administrative coordination for our growing property management and maintenance company.
This position is ideal for someone who enjoys organization, solving scheduling challenges, communicating with tenants, owners and team members, and ensuring that every project moves smoothly from the initial request through final completion.
The Scheduling Coordinator plays a key role in keeping our field operations running efficiently by coordinating technicians, tracking project progress, managing schedules, and providing outstanding customer service.
This is a full-time, in-office position located in Dillsburg, PA.
Key Responsibilities
Scheduling & Dispatch
- Schedule maintenance technicians and project crews efficiently.
- Coordinate daily maintenance and project schedules.
- Schedule estimates with homeowners, tenants, and property owners.
- Optimize technician routes and daily workloads.
- Coordinate company vehicle scheduling as needed.
- Adjust schedules throughout the day based on priorities and emergencies.
Project Coordination
- Track each project from the initial estimate request through final payment.
- Maintain estimate and project tracking systems.
- Monitor project status and follow up to keep work moving forward.
- Coordinate handoffs between departments.
- Collect customer feedback after project completion.
Administrative Support
- Track daily employee time and job progress.
- Prepare lease anniversary letters.
- Prepare late notices.
- Respond to rental inquiries and direct prospects appropriately.
- Maintain accurate records and documentation.
- Perform additional administrative duties as business needs evolve.
Qualifications
- Previous scheduling, dispatching, administrative, or office coordination experience required.
- Excellent organizational and time management skills.
- Strong communication and customer service abilities.
- Comfortable managing multiple priorities in a fast-paced environment.
- Strong attention to detail.
- Ability to problem-solve and adjust schedules throughout the day.
- Proficient with computers and willing to learn company software.
- Experience with Microsoft Office and Google Workspace required.
- Property management, maintenance, or construction scheduling experience is a huge plus.
